Role description:

To act as PA support and work in partnership with your Leader to aid the execution of the strategic objectives of your Leader role and the wider strategic objectives of the business.  Work as an integral part of the PA community to share information aligned to the role to support the PA team and the leadership team understand progress against strategic priorities to enable efficient working.  To be a proactive and effective communicator, working in a collaborative manner with Key Stakeholders.

Reports to Environment Team Executive Assistant. 

This role will be based in the UK preferably in the following locations: Birmingham, Glasgow, and Cambridge

Role accountabilities:

Responsible for delivering a timely, high-quality PA service to Senior Management.

Strategic Understanding

Understand the strategic objectives of the Organisation and how these translate down in your Leaders role. Understand what success looks like for your leader and how that translates in turn to your role.  Align to the strategic objectives and success factors of your Leader. Understand the short medium and long-term priorities of your leader and use this information to support your activities e.g. to prioritize your leader's diary, workload, and wider activities.  Schedule regular check-ins with your Leader to enable you to respond to short-term/ acute needs. Schedule review of longer-term objectives on a less frequent basis.

Daily Operations Management

Understand the business systems and processes aligned to your role.  Diary management for your Leader efficiently and effectively planning their time aligned to agreed priorities. Ensuring they are aware of key meetings and events, and supporting them to be well prepared.  Support or develop presentations, reports, and proposals as required. Arranging meetings.  Arranging travel, visas, and accommodation as required. Manage agreed ad-hoc projects  (single workstreams) that are aligned with the priorities of your leader.  Reading, monitoring, and selectively responding to management emails.  Answer queries promptly as required. Take accurate minutes at meetings and track actions. Maintenance of any electronic filing systems/other filing systems e.g. database/marketing materials. Completion of timesheets and expenses on behalf of your Leader. Organisation of internal/external events. Assess and evaluate business processes in order to identify opportunities for improvement. Manage the set-up of the meeting rooms for client meetings or events, and ordering of catering services.

Stakeholder Management & Engagement 

Understand who the Key Stakeholders are that your Leader needs to engage with.  Understand what information your Leader requires for effective communication with Key Stakeholders and prepare this information in advance of meetings.  Act as a point of contact for Stakeholders who are required to engage with your Leader. Support Stakeholders as required.  Proactively communicate key messages between your Leader and Key Stakeholders and vice versa.  Ensure key information is collated and shared with Key Stakeholders to support strategic objectives. Identify any potential challenges or issues with the communication of information, flag them to your Leader, and work with them to identify remedial measures.   Work as an integral part of the PA community to share information aligned to the role to support the PA team and the leadership team understand progress against strategic priorities to enable efficient working.  Model and apply a one-team approach with all colleagues irrespective of geographic location.

Problem-Solving 

Apply a growth mindset to your role. Prompt what the requirements of your Leader may be and flag issues, where possible providing solutions.  Work independently on initiatives as directed by your Leader, and develop solutions to drive efficient ways of working. Embrace technology as appropriate to your role, for example in reporting, use of trackers, etc. Share good practice with the PA community.

SHEQ

Model H&S behaviours. Identify opportunity for your Leader to embrace the H&S culture.  Share examples of good SHEQ behaviours with the PA community. 

Qualifications & Experience:

Formal secretarial qualification is desirable but not essential. Demonstrable PA experience Highly proficient in all Microsoft programmes including MS Word, PowerPoint, Excel, and Outlook Client relationship management skills Excellent business English both written and oral Accurate typing speed of 55 wpm (minimum) Experience working in a professional services consultancy is an advantage Attention to detail Able to self-manage and prioritise workload Confident in working with a demanding client group Highly organised Professional, proficient, and proactive in approach Excellent relationship builder and able to influence Able to communicate proficiently both in writing and orally Can work under pressure in a calm and thoughtful way Likes to work as part of a team but equally comfortable working alone Enjoys the challenge of multi-tasking and delivering Finishes all work to a high standard even when under pressure / tight deadlines Forward-thinkers likes to consider the bigger picture, anticipate potential issues , and plans for them Positive attitude and willingness to help others Flexible in approach Pragmatic Applies discretion and confidentiality in all matters Excellent common sense and a good sense of judgment Resilient and hard-working Able to travel to other locations on an ad hoc basis
