Program Administrator - Center for Public Safety and Justice
The School of Continuing and Professional Studies (SCPS) and Center for Public Safety and Justice is seeking applicants for Program Administrator. This role provides a high level of advanced administrative support for our academic programs (including professional education, noncredit programs, and other academic areas), working closely with Program Managers, Program Directors, and the Executive Director.

This position is responsible for helping to create course schedules, coordinating instructional needs, answering student questions, assisting with course registration, participating in student orientation sessions and webinars, coordinating academic program and learning outcome assessments, entering contract information for instructors and coordinators, and monitoring and tracking student progress toward completion of programs. Responsibilities may include event planning and contributing to the improvement and success of programming.

The successful candidate will be expected to:

Manage complex course schedules for current and future semesters.Contact instructors, confirm teaching schedules, and enter contracts.Attend student orientation sessions.Assist with registration and student advising.Track student progress toward completion of academic programs.Upload course materials and manage resources on the Canvas Learning Management System (LMS).Maintain all documents related to each academic program, including learning assessments and course updates following university policy.Assist instructors and staff with the submission of reimbursements for travel, lodging, per diem, and miscellaneous expenses.Monitor and submit updates to the website for program, scheduling, course, and instructor changes.Organize and plan in-person and online events effectively, including materials, space rentals, catering, decorations, and more.Coordinate preliminary negotiations for contracts and forward to approving authority for further action and contracting.Provide on-site support as needed (room setup for classes, seminars, and special events).Monitor financial activity.Serve as a liaison with vendors, suppliers, and service providers for logistical and operational needs.Maintain accurate records, such as program evaluations.Provide administrative support to the programs, including scheduling, communications, and troubleshooting logistics.In addition to the above job responsibilities, other duties may be assigned.

Minimum Requirements:

Education: Bachelor's degree required. Additional experience will be required in lieu of a degree.
Experience: Two years of experience required with a Bachelor's degree. Six years of experience required with a High School degree or equivalent.
 

About the Position:

This position is located in Charlottesville, VA and offers a hybrid work schedule. The incumbent will be required to work on site as needed and requested for meetings and/or other programmatic needs. This is a full-time, exempt level, benefited position with UVa benefits. Employees benefits package highlights include:

Anticipated Hiring Range is $60,000.00-65,000.00 commensurate with education and experience. This position will remain open until filled but preference will be given to applications received by January 23, 2025. This position will not sponsor applicants for work visas. This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
