PROGRAM ASSISTANT

Position Summary: We're looking for a customer oriented full-time Program Assistant for our Manhattan location. The ideal candidate is someone who is self-motivated with strong organization, bookkeeping and time management skills. They will perform basic duties such as answering phones and emails, assist with program activities, filing, inventory, managing purchase orders and tracking supplies. Job Responsibilities: + Provide support for program related activities such as handling Metrocards, process Check + Requests and Purchase Orders for client educational items including track and manage the supply inventory for the Department of Support Services. + Assist in the management of remote document storage. + Prepares, submits, and reconciles purchase orders for program supplies, and other financial transactions. + Order, distribute and track Metro Cards for the Department of Support services. + Assist the departmental staff with special projects (i.e. mailing education items to clients, etc.). + Input data into various databases. + Assist with event planning and related functions (i.e. group education). + Coordinate and follow-up with Apicha’s staff and external vendors for purchase orders and other requests including prepare the expense report. + Special project support (e.g., information gathering, create spreadsheets, create mailing list, etc.). + Organize and maintain office space with program supplies ensuring space is tidy and items are labeled accurately including routinely submit reports to Associate Director of Support Services – Operations. + Communicates clearly with Apicha’s staff, clients and external vendors, as needed to provide timely responses upon request on day-to-day tasks as they arise. + Participates in internal and external meetings and trainings including taking meeting notes and assists as assigned. + Perform other duties as assigned. Qualifications: + High school diploma/GED with 2 year of experience required. Some college preferred. + Customer service oriented. + Proficiency in Microsoft Word, Microsoft Excel, and Outlook with the ability to learn various in-house applications. + Strong organization, bookkeeping and time-management skills. + Self-motivated to achieve organization mission. + Strong verbal and written communications skills. + Must be reliable, detail-oriented, and resourceful. + Must comply with HIPAA guidelines. + Experience working with diverse cultural environment in professional manner preferred. + Ability to lift and carry heavy loads (up to 50lbs). + Ability to work flexible hours including some evenings and weekends required.
