Essential functions (job duties):
Job Purpose:
Work closely with Academic Director on recruitment, coordination and oversight of a large National Institutes of Health funded high school student research internship program. Coordinate speakers for other Obstetrics and Gynecology research programs. Act as liaison between Editor in Chief, authors and medical journal. Reports to Associate Director, Administration.
Essential Functions:
Implement, coordinate and oversee large-scale National Institutes of Health funded “Discovery to Cure” educational high school student internship program. Work with prospective and participant high schools to recruit student participants for biomedical research laboratory internships. Act as liaison with teachers, parents and students. Identify Principal Investigators from School of Medicine departments and other Wayne State University colleges/schools to participate as program mentors. Communicate program guidelines and provide ongoing support and direction to mentors and participants.
Identify and resolve problems related to participants and program. Oversee program budget, monitor and approve expenses, process student stipends. Establish tracking system for metrics required for NIH reporting and department use. Generate reports and analyze data obtained from program, as well as survey feedback obtained from students, mentors, teachers and parents. Make recommendations for program improvements and implement changes. Work closely with Academic Director as a high-level assistant. Manage Director’s high-volume schedule, travel logistics, expenses and reimbursements.
Assist Director in Fostering philanthropic relationships.
Manage scheduling and communication of External Advisory Board for the Mott Center. Compose professional communications, edit scientific proposals, generate financial reports and create presentations for meetings and training. Initiate and process OISS paperwork for international scholars and employees.
Coordinate monthly research seminar series. Identify and coordinate internal and external speakers. Create presentation materials and communications. Implement events.
Coordinate Women’s Reproductive Health Research Program, scheduling two to three advisory meetings annually. Ensure National Institutes of Health grant submission goals are met.
Coordinate 3-4 large symposiums and podcasts annually at the Center. Assist in Center website updates. Share Center updates and information with Med School Communications, social media platforms and other channels to promote awareness.
Assist in faculty meetings (agendas and minutes). Provide Administrative support to faculty as needed. Assist Associate Administrative Director with projects as needed. Perform other related duties as assigned.

Qualifications:
Education: Bachelor's degree
Bachelor’s degree from an accredited college/university in business, public administration, education or a related field. An equivalent combination of education and experience may be accepted.
Experience: Specialist (minimum 5 years of job-related experience)
Experience in coordination and implementation of community, non-profit and/or educational programs required.
Experience in an academic health care environment preferred.
Background in customer service and/or sales experience preferred. Experience with budgets preferred.
Knowledge, Skills and Abilities:
Highly motivated self-starter with a strong professional skill set.
Outstanding organizational and program management skills with the ability to balance several competing tasks and deadlines simultaneously.
Excellent interpersonal skills with an ability to coordinate and direct staff towards common goals.
Excellent verbal and written communication skills. able to communicate professionally with internal and external customers and edit professional correspondence.
Ability to work independently with minimal supervision and make reasonable decisions.
Strong business skill set, including proficiency with business software. Proficiency with Microsoft Word, Excel, PowerPoint and Outlook required. Knowledge of Banner, Cognos, Wayne Buy and Travel Wayne and basic website updating preferred. Able to learn new software programs quickly.
