**PROGRAM COORDINATOR**

**POSITION PURPOSE**
Serve as the primary point of contact for students, staff and guests seeking information about Residential Life programs and/or the operation of the residence halls and administrative offices. Work collaboratively with all HFS units in support of Residential Life financial procedures, use of technology, and other unit-wide initiatives.
**DUTIES AND RESPONSIBILITIES** Administrative Support (50%)
+ Serves as the point of contact for the HFS Central Office Res Life suite for unit partners, for internal and external questions.
+ Oversees Sonitrol security permissions and access to Residential Life spaces.
+ Liaises with Sonitrol Pacific and HFS Facilities staff to update security systems and procedures in Residential Life offices and other managed spaces.
+ Provides information related to Residential Life program policies, procedures, and operations.
+ Provides operational support to the Residential Life Team as assigned, including coordinating Residential Life courier schedule, coordinating meetings, reserving spaces, distributing agendas, and recording and distributing meeting minutes.
+ Provides support to the Director of Residential Life, Program Support Supervisor, and Operations Specialist as assigned.
+ Manages the Residential Life posting policy and maintains the content located on the HFS Posting Policy site.
+ Acts as a resource for Document Accessibility best practices and audits.
+ Performs administrative tasks relating to onboarding and off-boarding student leaders and staff.
+ Serves as a member of and provides administrative support for several department and unit-wide committees and workgroups.
+ Utilizes SharePoint, Microsoft Office and Adobe InDesign in support of Residential Life projects.
+ Process travel arrangements and reimbursements for student leaders/student staff members.
+ Supports unit poster distribution procedures, maintain digital signage ads, and organize courier schedule.
+ Participates in HFS Central Office Front Desk reception coverage as needed.Financial Processes (20%)
+ Completes purchases on behalf of Residential Life utilizing a variety of procurement methods and reconciles all transactions in alignment with university procurement policies and procedures.
+ Interprets financial policies/procedures and serves as a resource to Residential Life staff.
+ Serves as a Reviewer of financial transaction documentation for compliance; initiates corrective action to eliminate discrepancies between budget related documentation, informing supervisor of discrepancies.
+ Serves as a Workday and procurement resource for Residential Life staff area teams as needed.Resource Maintenance (15%)
+ Owner of digital signage process for Residential Life; manages permissions, creates resources, and conducts training.
+ Manages troubleshooting of On-Call resources including technology and auto fleet as needed for staff who serve in the after-hours On-Call rotation providing 24/7 coverage for high level issues.
+ Manages, develops and enhances use of SharePoint and provides training and on-going SharePoint user support to Residential Life staff and student leaders.
+ Manage information systems and resources in Residential Life in collaboration with HFS IT, including laptops, cell phones, and shared unit hardware.
+ Manage the SharePoint sites and tools, including access, initiatives, content maintenance, training and on-going user support to staff and serving as liaison between student staff and HFS IT as needed.
+ Maintain portable technology (laptop, microphones, etc.) and facilitate set-up used for weekly unit-wide meetings.Other Responsibilities (15%)
+ Provides direction to the student employee Office Assistants in the Terry Central Office within Residential Life.
+ Participates in staff selection activities and training activities for Residential Life student leaders, office assistants, support staff, community managers, and other positions as needed.
+ Participate in unit and HFS trainings, meetings, committees, and move-in and move-out activities.
+ Coordinates special projects as assigned.
+ Performs other duties as assigned.Supervision ProvidedThe position works under general supervision and reports to the Program Support Supervisor.Supervision ExercisedThe position provides incidental direction to student employees throughout the year. **POSITION DIMENSIONS** Working knowledge of residential life and program administration are keys to successful performance.Though hired into a specific working title or location, all employees of Housing & Food Services are expected to support overall operations by: participating in cross-training, providing coverage during staff absences or high business volume, participating in production and/or service of special events, and being willing and able to perform additional, related duties and/or be reassigned to another work unit. **WORKING CONDITIONS** This position works a regular Monday through Friday schedule; however, it may require the occasional evening and weekend commitment for special events. **MINIMUM REQUIREMENTS**
+ High school graduation or equivalent AND two years of administrative experience.
+ Equivalent education/experience. **DESIRED QUALIFICATIONS**
+ One year of experience working in a residential life or residential housing program.
+ Proficiency with SharePoint, creating pages, libraries, workflows and forms.
+ Experience with budget tracking, maintenance and monitoring, and developing new software skills.
+ Attention to detail.
+ Outstanding oral and written communication skills.
+ Success interpreting and communicating complex policies, procedures and agreements.
+ Proficiency with MS Office applications.
+ Equivalent combinations of education and experience may be considered. **CONDITIONS OF EMPLOYMENT**
