Occupational Summary

 

Bass Connections is a Duke University program that supports collaborative, interdisciplinary research at Duke. Involving all of Duke’s schools, the program actively engages students and faculty in the exploration of complex societal issues through year-long research teams, summer programs, courses, and student research grants. Projects and courses are categorized under one of six themes — Brain & Society; Energy & Environment; Global Health; Health Policy & Innovation; Information, Society & Culture; and Race & Society. Launched in 2013, the program now includes more than 70 year-long research projects per year, several summer research programs, and numerous affiliated courses. Annually, approximately 700 undergraduates, 200 graduate students, and 350 faculty and staff participate in year-long project teams and summer research programs.

 

Major responsibilities of the Communications and Events Coordinator include creating original content for the Bass Connections website and social media, designing promotional materials and sharing program opportunities across campus, coordinating large- and small-scale program events, representing Bass Connections at outreach events.

 

This position reports to the Associate Director of Bass Connections and is part of the Office of the Vice Provost for Interdisciplinary Studies. Our office is a remote-first work environment but the person in this role will be expected to attend on-campus meetings and events. A hybrid work schedule will be determined based on the candidate’s preferences and the needs of the program.

Work Performed

 

Communications and Marketing (65%)


•    Write, produce, and edit news and feature stories for the Bass Connections website, including profiles of project teams and students
•    Coordinate with the Office of the Vice Provost for Interdisciplinary Studies, University Communications and Marketing, and other on-campus communications entities to brainstorm and share Bass Connections and Interdisciplinary Studies-related news stories across campus and beyond
•    Track and report on the impact of Bass Connections teams, including student, faculty, and alumni stories, and short- and long-term research research outcomes
•    Design, write, edit, and share the Bass Connections annual report
•    Disseminate program opportunities and updates to students and faculty across campus
•    Edit accepted project proposals into standard format and create new project team pages on website
•    Manage Bass Connections social media
•    Make regular updates to the Bass Connections website to keep content, event listings and links up to date
•    Design graphics, flyers, brochures, and other materials for online and print purposes
•    Maintain mailing lists, produce newsletters and announcements
•    Maintain a collection of photographs and videos for the program, including taking occasional photographs and/or working with students and freelancers to capture particular events
•    Promote the Bass Connections brand by designing, purchasing, and distributing promotional items (e.g., t-shirts, stickers, other swag)
•    Represent Bass Connections at student outreach events including Blue Devil Days and orientation events

 

Events (35%)


•    Coordinate and manage major programmatic events, including the annual student fair and the Fortin Foundation Bass Connections Showcase (including reserving space, advertising, arranging catering and other logistics)
•    Collaborative with theme administrators to coordinate theme-specific events designed to build community and share knowledge/experience within Bass Connections’ thematic areas
•    Coordinate and support research sharing opportunities for Bass Connections teams (e.g., works-in-progress events, mini-symposia, lunch and learns, and/or workshops), including in collaboration with university institutes and centers
•    Schedule program-wide meetings and support the planning and coordination of the annual Bass Connections faculty/staff retreat

 

Knowledge, Skills and Abilities

 

This is a multi-faced role that requires the ability to multi-task, adapt to evolving needs, and operate independently. Successful applicants will be highly organized and will have a strong attention to detail. Applicants should have excellent oral and written communication skills as well as experience creating original content for publication, copyediting, and creating graphics and promotional materials. Applicants should also have a professional demeanor, strong interpersonal and teamwork skills, and experience coordinating large (>100 people) events. Adobe Creative Suite (particularly Photoshop), Canva, photography and/or video skills preferred. 

 

Applicants should also have familiarity with operating in an academic environment, preferably in higher education.

 

This job requires occasional, but rare, evening and weekend work. 
 

 

Minimum Qualifications

 

 

Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

 

Experience

 

Work requires three years of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
