We are currently seeking a Program Coordinator to provide dedicated support to the Executive Assistant to the CEO. This role will play a critical part in ensuring the seamless operation of the Office of the CEO by handling administrative tasks, managing schedules, booking travel, and supporting high-profile events. The Program Coordinator will report to the Executive Assistant and work closely with the CEO’s office team to maintain the efficiency and professionalism of daily operations.
This position requires exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced environment. The ideal candidate is proactive, adaptable, and capable of handling sensitive information with the utmost confidentiality. This position is 5 days a week on-site in our Mclean campus.
Responsibilities:
Administrative Support:
Assist the Executive Assistant with managing the CEO’s complex calendar, including scheduling and coordinating meetings, appointments, and events.
Serve as a liaison for the Executive Assistant to internal and external stakeholders, ensuring clear and timely communication.
Prepare, edit, and distribute correspondence, reports, and other documents as needed.
Maintain and organize files, records, and other documentation to ensure easy accessibility.
Travel Coordination:
Arrange domestic and international travel for the CEO, including flights, accommodations, ground transportation, and detailed itineraries.
Ensure all travel arrangements are aligned with the CEO’s schedule and preferences.
Handle travel-related expense reports and reimbursements, ensuring accuracy and compliance with policies.
Event Support:
Assist in the planning and execution of events hosted by the Office of the CEO, including logistical arrangements and on-site coordination.
Collaborate with internal teams and external vendors to ensure successful event outcomes.
Prepare materials and resources needed for events, including agendas, presentations, and attendee communications.
General Coordination:
Monitor and manage incoming requests to the Executive Assistant, prioritizing and escalating as appropriate.
Anticipate needs and proactively address challenges to support the Executive Assistant and the CEO.
Support ad hoc projects and initiatives as assigned by the Executive Assistant or Chief of Staff.
Minimum Qualifications:
Typically requires a minimum of 1 year of related experience with a High School Diploma or equivalent in education, or equivalent combination of high school courses and related work experience.
Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Strong organizational and multitasking skills with a keen attention to detail.
Excellent verbal and written communication skills.
Demonstrated ability to manage confidential information with discretion.
Proven ability to work independently and as part of a team.
Flexibility to adapt to shifting priorities and deadlines.
Ability to obtain and maintain a Secret Clearance.
5 days a week on-site required.
Preferred Qualifications:
Experience supporting senior executives or working in a C-suite environment.
Familiarity with enterprise systems such as Concur or Workday.
Prior experience coordinating complex travel arrangements.
Experience supporting large-scale corporate events.
Strong problem-solving and critical-thinking skills.
