Program Coordinator
The primary purpose of the Program Coordinator positions is to perform complex administrative activities in support of grants, finance, educational and other administrative program activity for the Department of Behavioral Science in the Division of Cancer Prevention and Population Sciences. This position impacts key departmental programs and supports the Department Chairs, Department Administrator, Research Faculty and staff in grants, financial, educational, administrative and purchasing efforts. The ideal candidate will exhibit professional communication skills (written and verbal), the ability to think critically, strong organizational and technical skills, and be able to interact confidently with faculty, staff, and other members of the Department/Division/Institution.

JOB SPECIFIC COMPETENCIES

Administrative/Educational Support

* Assists with procurement activities for the department.

* Assist with coordinating the Department's website by ensuring that the content is accurate, and monthly updates including, but not limited to, departmental contact information, research initiatives & current medical trials.

* Creates documents/forms/databases to ensure financial and departmental compliance.

* Update relevant departmental records and reports as needed following established departmental procedures.

* Assists faculty and classified employees with visa application and renewal processes.

* Assists with educational appointments and management of trainee documentation via SLATE and other relevant institutional databases.

* Coordinates with other departments to obtain deliverables for Department Administrator's projects.

Grants and Finance Support

* Supports administrative planning for grants and contracts submission initiatives, including working with all principal investigators and postdoctoral trainees and/or their designee, following established departmental procedures.

* Assists with coordination of submission and review process by performing quality check on all grants and contracts submissions (against sponsor instructions) to ensure formatting, budgeting and other components are accurate, following established departmental procedures.

* Assist in the transfer of existing grants from other institutions and manage sub-contract requirements, as necessary.

* Performs budget analyses and budget revisions. Facilitates the establishment of new chart-field strings as required by grant activities; communicates these activities to project leaders.

* Performs monthly reconciliation for funds and projects following established departmental procedures, as well as adhering to established deadlines.

* Manages the backup documentation files for financial reconciliation.

* Monitor active awards, assist with progress reports, and manage award closeouts.

* Updates relevant grant-related departmental records and reports as needed, following established departmental procedures.

* Update relevant financial-related records and reports as needed following established departmental procedures.

* Coordinate and manage closure of Purchase Orders.

* Create PRS Tracking tool for individual faculty and track expenses.

* Assists in monthly statistical sample review following established departmental procedures.

* Assists in monthly free balance report data extract following established departmental procedures.

Special projects as assigned by the Department Administrator.

Other Duties Assigned

EDUCATION:
Required: Bachelor's degree in Business Administration or related field.

Preferred: Master's degree in Business Administration or related field.

EXPERIENCE:
Required: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.

Preferred: Current or previous MDA experience.
