Program Coordinator

We are seeking a Program Coordinator to help us manage day-to-day internal and external obligations of our APL Space Development Agency (SDA) tasks. As a Program Coordinator... Your primary responsibility will be to provide operational, management, and administrative coordination across all areas of Program execution. You will work with the APL SDA IDIQ Program Manager, Program/Project Managers, Leads and admins to manage the day-to-day execution of tasks (Cost, Schedule, Risk, Quality, Communications, etc.) and develop approaches to focusing on priorities. You will monitor project milestones and ensure on-time delivery of contract deliverables across all the tasks in the APL SDA portfolio of projects. You will aid in the development of standards, timelines and procedures to ensure project deadlines and sponsor requirements are satisfied. Analyze and detect potential deviations in project plans based on the latest information available. You will support the onboarding of team members to include but not limited to obtaining clearances, access to APL classified and unclassified IT systems and tools, project indoc, training, gaining access to Sponsor systems, and acknowledgement of NDAs. You will analyze, prepare, and organize information for internal and external program and project reviews, including content and editorial reviews of technical materials prepared by technical staff. You will oversee and coordinate technical reviews, line management technical engagements, and cross-sector sector engagements. You will plan, coordinate, and support meetings and conferences/seminars for internal and external participants and Sponsors. You will interface with Sponsors and their representatives to collect and disseminate presentation information, ensure clearances are prepared, oversee the coordination of scheduling, reservations, and all other logistics, and attend meetings to prepare summaries and develop action items. You will collaborate with other APL organizations (security, quality, communications, contracts, IT, etc.) to ensure the successful execution of project milestones and deadlines within the APL SDA portfolio of projects. You will develop an understanding of the technical work being performed within the program area and be able to adequately convey the methodology, impact, and importance to others. You will assist in the development of Statement of Work (SOW) documents, establish and manage proposal development timelines for new tasks and responding to RFP requests in collaboration with the APL SDA IDIQ Program Manager and teams. You will support new task starts identifying/obtaining security class guides, establishing project workspaces, opening budgets and other supporting activities. You will ensure adherence to the tasks SOWs through coordination with the PM and technical teams. You will partner with the Financial Manager (FM) to foster a communicative and collaborative business operations team. Along with the FM, you will monitor the financial status of all the APL SDA tasks. You will standardize monthly status reports, and prepare and disseminate to both internal and external distribution lists. Qualifications You meet our minimum qualifications for the job if you... Possess a bachelor’s degree in Business or Technical discipline. Have 2+ years of relevant experience with successful performance in progressively increasing business, operational, or program initiatives and Have the ability to research, analyze, and develop efficient processes for business, operational, or program initiatives and Are skilled in MS Office, including MS Excel, Word, and Are willing and able to work on dynamic projects, can prioritize numerous concurrent tasks in a fast-paced environment, and work occasional extended hours or travel as needed. Have an active Top Secret/SCI level security If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship. Are skilled in technical writing and can review technical reports for clarity and a cohesive story. You'll go above and beyond our minimum requirements if you... Have experience developing and ensuring successful project schedules, milestones, and deliverables completion. Are knowledgeable and experienced with APL financial management systems and processes. Have experience in creating and maintaining information within databases, such as Access. The referenced pay range is based on JHU APL’s good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance.
