Scope of Job
To assist in the operation of a program or multiple projects for the student activities department. Responsible for programs and services provided by the Campus Activities Board ( CAB ). Responsible for exercising independent judgment and authority as required. Responsible for all phases of the program, including budget recommendations, program selection, staff supervision, recommendations for future planning, and innovation.
Description of Duties
• Coordinates the Campus Activities Board operations to ensure that implementation and prescribed activities are conducted in accordance with specified objectives.
• Provides programming and operational support for student activities department initiatives/projects.
• Supervises and manages the day-to-day activities and personnel of the CAB .
• Coordinates the various activities of the program including but not limited to events such as Welcome Week, Homecoming, Charreada, Carnival of Madness, and other campus-wide celebrations.
• Responsible for the procurement of all services and entertainment for the assigned programs and events.
• Participates in the implementation and staffing of large-scale events requiring the presence of student activities staff.
• Responsible for the recruitment, onboarding, formal training, and ongoing professional development of the members and volunteers of the CAB .
• Advises members and volunteers regarding policies and procedures related to facility usage, finances, procurement, university services and department and program policies.
• Participates in budget planning and is responsible for controlling expenditures in accordance with budget allocations for the program.
• Oversees all meeting proceedings of the program.
• Assists others with writing and developing proposals for funding grants and sponsorships.
• Coordinates long and short-term program goals and assessment of the program.
• Develops marketing and communication plans to promote the program and related engagement opportunities.
• Responsible for drafting promotional materials for events and programs, maintaining website and social media platforms and drafting all other communications on behalf of the program.
• Attends meetings, conferences, and seminars related to the program’s mission and goals.
• Provides appropriate program reports as required and tracks and maintains historical records as needed.
• Develops, cultivates, and maintains working relationships with internal/external departments/agencies and other organizations associated with and/or receiving benefit from the program.
• Responsible for transporting groups of students and staff to off-campus locations for events, conferences, and/or functions.
• Represents department in official functions.
• Assists in other areas of student activities as needed.
• Performs other duties as assigned.

Bachelor’s degree from an accredited university.

As condition of employment this position requires the applicant to be authorized to operate a University-Owned Vehicle for Official University Business. Per University of Texas System Policy 157, applicants will be subject to a motor vehicle record check for their most recent thirty-six (36) month history. Out of State Drivers are required to submit a 36-month history MVR from their prior State of residence(s).
Required Experience
+ Three (3) years of experience performing closely related duties, including program planning/coordination or related experience in the appropriate field of the program, or
+ One (1) year of the required experience with a Master’s degree, or
+ Five (5) years of the required experience with an Associate Degree or 60 hours of College Credit, or
+ Seven (7) years of the required experience with a High School Diploma or equivalent.

Use of standard office equipment.
Working Conditions
Needs to be able to successfully perform all required duties. Normal office or classroom or outside environment. Some travel and weekend work is required. Particular project or program may require ability to drive a car for local or distant travel for consultation, training, meetings, or on site demonstrations. Must be able to bend, stoop, reach and lift for retrieving/maintaining files and for setting up multimedia equipment. Must be able to move between buildings, offices and classrooms. UTRGV is a distributed institution, which may require presence at multiple locations throughout the Rio Grande Valley.
