The Office of Events is a growing department whose primary function is to assure the events hosted by Utah State University, “Exceed Expectations”. The Program Coordinator III position is responsible for the success of conferences both on the campuses of Utah State University as well as off campus locations by managing the Conference Team that will be coordinating these events.
ResponsibilitiesTeam Management
Ensure client satisfaction and successful conference management for all events within the Conference Team.Guide and direct Conferencing Team and in accordance to University and State policies.Supervise and Lead conference team in assigning clients, maintaining balanced work schedules for all coordinators.Maintain and oversee master conference calendar.Track and measure team processes and update accordingly to fit the needs of the clients and office of events processes.Provide and adhere to client master accounts including budgeting, payment portals and invoicing.Hold regular and efficient trainings for the conference coordinator team on industry standards, department policies, CVENT, EMS, and more.Cross train staff accordingly to ensure optimal coverage and operation of conferences throughout the year.Answer and troubleshoot client questions and concerns regarding conferences; advise and improve processes accordingly.Event Management
Client consultationLiaise between the client, the service providers and vendors needed to create a successful event. Including but not limited to event regulations, compliance standards, venue selection, and vendor management. Serve as the primary contact and supervisor of the event team including staff, volunteers, vendors, and support personnel at events.Oversee event contract creation and implementation.Design and orchestrate trade show and exhibit functions and manage a team for all details.Create a marketing plan for events with client input. Generate timeline for sending notices, facilitate design drafts of marketing pieces and printed materials, social media planning, on-site event apps, and signage.Compile and store all event data for historical data use and process improvement.Financial Management
Prepare and track financial records, ensuring accurate, current revenue and expenditure information.Develop comprehensive event budgets and continuously monitor and adjust as necessary.Review service provider invoices and approve payments. Administrate budgeting process and final financial settlement of event within the Event Services policy on closing events.Analyze accounts and budgets. QualificationsMinimum Qualifications:
Bachelor's degree in a related field plus two years of relevant work experience; or a master’s degree in a related field; or an equivalent combination of education plus experience is required.Ability to work a non-traditional schedule, including some evenings and weekends. Some travel may be required.Knowledge, Skills, and Abilities:
Thorough knowledge of Microsoft Office in a Windows environmentAbility to work with other custom database systems for which training is provided.Knowledge and experience with basic bookkeeping practices and proceduresStrong organizational skills and attention to detailStrong clerical and record keeping ability.Ability to manage and complete multiple projects and deadlines simultaneously.Excellent written communication skills, including correct grammar, spelling, and proofreading.Excellent verbal communication skillsAdaptability to changing event dynamics and attention to detail.
