Program Coordinator - School Based Mental Health Services (Frederick)

Principal Responsibilities and Duties:

Assist the Director(s) in their daily functions, including special projects/ requests and communications with external organizations, internal contacts, and staff. Work closely with management personnel to assist and ensure smooth daily operations of the clinic.  This includes client/staff issues, policy questions, planning, scheduling, office openings/closings, etc.  Assist leadership team in providing communications to staff. Act as liaison to Sheppard Pratt Human Resources, Billing & Payroll, and IT departments. Coordinate with Information Technologies to maintain, assign, troubleshoot, and manage all IT equipment, including tablets, phones, and computers. Organize and set up interviews for multiple positions and assist in orienting new hires and onboarding activities. Serve as back up to the Office Manager for ordering and distributing all supplies needed. Coordinate and uphold multiple Outlook calendars for assurance of leadership, psychiatric provider, and administrative coverage. Communicate with the electronic appointment notification system, on a back-up basis. Make approved provider schedule changes in the EMR system, on a back-up basis. Make bank deposits as needed, on a back-up basis. Communicate with contractors and/or building management as needed, on a back-up basis. Maintain staffing spreadsheets and expense reports. Compiles reports needed for payroll. Travel between sites for item delivery and pickup. Maintain records and files for reference. Coordinate internal provider clinical meetings. Other duties as assigned.

Knowledge, Skills, and Abilities Required:

2-3 years administrative or operational support experience in a medical office setting preferred. Bachelors degree required, preferred in psychology/human service fields. Intermediate computer skills and knowledge of Microsoft Office required, EMR systems a plus. Ability to provide and promote a positive/friendly environment while assisting clients, providers, and staff. Ability to ensure all tasks are completed in a timely manner with little to no supervision. Knowledge of and ability to perform procedures and practices required in an effectively operated office, including the ability to balance needs of clients, providers and staff. Ability to be pro-active in seeking solutions and to be able to work in a fast-paced environment. Ability to establish and maintain empowering, trusting relationships with clients and staff. Ability to maintain appropriate boundaries and to maintain HIPAA Privacy regulations at all times. Maintain operations by following and enforcing policies and procedures as well as communicating needed changes. Demonstrates a strong attention to detail. Ability to communicate effectively orally and in writing. Run data reports using Excel and Evolv.

The pay range for this position is $23.56/hr minimum to $25.48/hr maximum.  Pay for this position is determined on a number of factors, including but not limited to, years and level of related experience.
