Program Information Coordinator
Summary Purpose for the Position:
To provide direct administrative and clerical support to management and program staff. Position is responsible for data inputting and maintaining all transactions including VAPRs and reports for state and/or local programs mandates.
Requirements (Education, Experience, Certification, Knowledge, Skill):
Position requires knowledge of computers and computer programs, including word processing and database programs. Proficiency in typing and solid written and verbal communication skills.
Three years of business administration experience and/or A.A. in Secretarial Sciences
Demonstrated ability to work independently and meet specific time lines are required
Position Responsibilities:
Edit, type, and distribute routine correspondence for Deputy and program staff.
Complete, code, sort, input, and edit VAPR’s.
Collect, compile, and input vendor information and verify accuracy of invoices.
Maintain files and records for inventory of all offices in the State.
Responsible for screening phone calls and coordinating communications between staff.
Recommendation of expenditures, i.e office supplies.
Prepare and process per diem documents for approval for travel arrangements for management staff
Organize filing system.
Assuring filing system, and maintains previous years of program information in addition to the current year.
Provide technical assistance to staff on local office procedures
May be required to drive for business purposes
Working Conditions/Environment:
Prolonged exposure to computer video display screens, repetitive motions.
Transportation Requirement:
Position requires automobile, driver’s license and insurance.
