Program Manager, Executive Education – Tepper School of Business

Executive Education at the Tepper School of Business works with public and private organizations to develop senior and executive leadership and organizational capability. Our programs enable participants to have an impact on their organizations – connecting their needs with the knowledge, faculty, programs, technology, and teaching offered at the Tepper School of Business and Carnegie Mellon University. Tepper Executive Education merges academic excellence with practical business application to solve real problems for our clients.
 

We are searching for a Program Manager to join the Tepper Executive Education team. This is an excellent opportunity if you thrive in an interesting and challenging work environment. You will contribute to the department by overseeing the high visibility program planning and delivery logistics for an assigned portfolio of non-degree executive education custom and open-enrollment programs.

This position coordinates all operational aspects of assigned events, manages communications, program logistics, and is responsible for efficient, cost-effective program administration with the goal of providing extraordinary customer service in online, on-campus/in-person, and/or hybrid environments. Program Managers maintain a close working relationship with clients, both sponsoring executives and participants, through ongoing interactions both in person and via email and/or telephone. Responsibilities also include promotion and cross-selling of open-enrollment and/or custom programs within the Tepper Executive Education portfolio.

Core responsibilities will include:

PROGRAM DELIVERY

Ensure effective delivery on all operational aspects of assigned Open Enrollment and Custom programs or other events in collaboration with clients, faculty/staff, computing and audio-visual departments, and internal and external departments;

Provide program on-site assistance; online support for digital and hybrid programming; including: Pre-Post program setup/breakdown, onsite support for in-person programs, this may include weekend, evening, and early morning hours depending on the program, and after-action review participation;

Actively participate in program planning meetings as well as post-program evaluation process and debrief meetings;

Participate in the continual improvement of existing operational plans for program delivery, apply current and future technology tools to enhance automation and efficiency, and maintain complete files on all programs to ensure smooth delivery of future program offerings;

Support portfolio recruitment, development, travel, and coordinate interactions/relationships between university staff, contracted vendors, and the Executive Education team as necessary;

Manage pre and post program communications with participants, faculty and/or associated partners on a timely basis. This includes, but is not limited to, preparation of welcome letters, logistics information, attendance verifications, Visa requests, setting-up classroom venues, updating the learning management system, technology assistance, and coordination of faculty, participant, and/or partner needs;

Manage evaluation process and track follow-up items; Propose solutions and/or improvements to faculty and management regarding long-term program needs.

PROGRAM BUDGET MANAGEMENT & FINANCIAL STEWARDSHIP

Manage a budget for program delivery that balances the goal of providing exceptional customer service within prescribed cost parameters. Works with internal team to negotiate with third-party vendors of these services and prepare partner invoices;

Work to keep programs on schedule, within stated budgets and functioning smoothly. This includes tracking billing, process invoices, payments, and other financial transactions.

Ability to pay close attention to detail, work on multiple tasks, prioritize work, and demonstrate reliable follow-through;

Capability to anticipate logistical needs proactively, follow processes, and look for opportunities for efficiency gains/process improvements;

Fundamental knowledge of invoicing and tracking spend against budget.

Qualifications

Bachelor’s degree required

3-5 years of relevant experience required; experience with program and/or conference coordination in higher education or industry is highly desired

A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace

Comfortable working in a high-volume/fast-paced environment

Experience with Canvas LMS, Qualtrics, Adobe, Salesforce, Zoom, HTML, and Intrepid preferred

Experience with Oracle financials and Workday preferred Flexibility for evening/weekend hours and ability to travel preferred

Sponsorship: Applicants for this position must be currently legally authorized to work for CMU in the United States. CMU will not sponsor or take over the sponsorship of an employment visa for this opportunity.  Carnegie Mellon is not a qualifying employer for the STEM OPT benefit: only the 12-month OPT may be used to work at Carnegie Mellon.

Travel Requirements: You should be open to domestic and international travel on a quarterly or annual basis and flexible to work outside regular business hours when required.

Work Posture: this position is operating on a hybrid schedule, with an on-campus/in-office presence 3 days/week depending on business needs.
