Program Manager, Professional and Enrichment Programs

The University of Virginia, School of Continuing and Professional Studies seeks a Program Manager to join its Professional and Enrichment Programs (PEP) team. The Program Manager advances the School of Continuing and Professional Studies mission of providing high-quality education designed for working professionals and adult learners. 

This position supports the implementation of strategic programs to further the school’s noncredit, non-degree/certificate, and custom program offerings. This position helps drive the planning and execution of programs, from student-facing events and programs to client engagement. This position plays a vital role in helping the team create a lasting impact with its key stakeholders. 

The Program Manager reports to the Executive Director of Strategic Initiatives and Corporate Relations, who oversees the PEP team and is charged with supporting, developing and delivering primarily noncredit high-quality cohort-based and open enrollment programming in areas like leadership, project management, teambuilding, communication, and more. This position actively collaborates with teams across SCPS including the Financial and Business Operations team and the Student Success and Enrollment Management team.  

This position is based in-person in Charlottesville, VA. Some travel to other program locations in Virginia may be required. 

Primary areas of focus for the Program Manager include: 

Students 

Provide student support and advising to help them determine program fit and next steps.  

Ensure a seamless student experience from start to end of a program (which may include workshops, conferences, webinars, bootcamps, and noncredit or for-credit courses). 

Instructors 

Provide instructor support during in-person and online programs, assisting with technology and classroom and experience management. 

Support program quality by providing teaching evaluations for instructors based on adherence to learning objectives, participation and engagement in the session, and overall satisfaction with teaching content and delivery. 

Supports onboarding of new instructors to get them acquainted with the program for which they are teaching. 

Identify instructors for facilitating sessions 

Oversee the instructor pay process 

Clients 

Be available onsite during contracted programs to support client questions and needs.  

Collaborate with clients in both the workshop planning and review processes 

Program Manager responsibilities include: 

Leads planning, budgeting, implementation, and de-briefing of assigned projects, programs, and conferences/events.  

Maintains accurate records and databases related to program participants, instructors, attendance, and budget. 

Leads efforts to collect feedback from students, instructors, and program partners to evaluate the effectiveness of programs and identify areas for improvement.   

Leads information sessions or webinars for program offerings to support enrollment. 

Ensures the timely dissemination of relevant information to students, instructors, and staff regarding program updates, deadlines, and requirements. 

Pro-actively identifies and develops approaches to improve internal systems and processes. 

Owns projects on behalf of the PEP team and coordinates directly with SCPS colleagues to address challenges and propose strategies to maximize impact. 

Serves as an instructor in areas of expertise.  

Assist the Executive Director on special projects and initiatives  

MINIMUM REQUIREMENTS:

Master’s Degree and four years of relevant experience required. Bachelor’s Degree and relevant experience may be substituted in lieu of Master’s Degree. 

Past teaching and workshop facilitation preferred. 

Exhibits comprehensive growth mindset , detail orientation, and ability to overcome barriers with a positive and proactive attitude. 

Ability to provide quality instructor feedback on courses and individual sessions. 

Ability to be a collaborative team player who can work and communicate effectively and professionally with students, faculty, staff, and other important stakeholders. 

Ability to coordinate the activities of multiple parties to achieve desired objectives. 

Ability to ensure successful execution against agreed-on plans and objectives. 

Ability to manage budget and hiring processes and procedures. 

Excellent communication skills, both oral and written. 

Proficiency with Excel, Zoom, learning management systems (i.e. Canvas), Canva, and Microsoft Teams.   Proficiency with Workday, student information systems, and Salesforce preferred. 

This position is located in Charlottesville, VA and offers a hybrid work schedule. The incumbent will be required to travel to and work on site as needed and requested for meetings and/or other programmatic needs.
