Job Description Summary:

JOB SUMMARY/SCOPE OF RESPONSIBILITY:
Under the supervision of the Executive Director, the Program Manager—Administration or “Administrative Manager” is responsible for administrative functions for Pathways such as Compliance, Joint Commission, Audits, and Quality Improvement. The Administrative Manager is also responsible for coordinating, monitoring, and supervising the staff involved in the delivery of medication management, and administrative and front desk services, and health information management (HIM). The Administrative Manager is responsible for programmatic planning, quality assessment and improvement activities, staffing issues, and budgetary issues for these areas. The Administrative Manager generally works eight (8) hours per day, five (5) days per week, and is generally available during evenings and weekends for consultation to other staff as needed.

ESSENTIAL JOB FUNCTIONS:

Performs functions with clients and staff in gender-, spiritually-, economically- and culturally-responsive, trauma-informed, humble, kind, and competent ways

Follows HIPAA guidelines and maintains the highest level of confidentiality and privacy at all times when dealing with client information, paying special attention to any additional risks present when using telehealth software and programming

Works in conjunction with the Executive Director and other managers to meet regulatory requirements related to Compliance, Joint Commission, and Program audits

Works in conjunction with the Executive Director and other managers to implement and monitor Pathways’ Quality Program

Manages the medication clinic and reception/front desk for the Summar location

Manages the HIM department agency-wide

Oversees the selection and orientation of new staff as applicable, evaluating performance and giving feedback in a manner that reinforces positive performance while correcting problems or deficiencies

Works in conjunction with the Director of Nursing/Chief Nursing Officer to develop and implement policies and procedures for the Pathways medication agency-wide

Collaborates effectively with clients, outside agency personnel, family members, and internal agency personnel, including but not limited to supervisors, therapists, physicians, nurse practitioners, nurses, health information management staff, reception and front desk staff, and case managers to ensure continuity of care

Works in conjunction with the Director of Nursing/Chief Nursing Officer to develop and implement policies and procedures for the Pathways medication agency-wide

Chairs the effective operation of the Quality, Joint Commission, and Policy & Procedures Committees

Works in conjunction with the Director of Nursing/Chief Nursing Officer to develop and implement policies and procedures for the Pathways medication agency-wide

Effectively uses current available data to monitor current and plan and implement new programs, processes, and services in conjunction with administration and other programs affected

Displays evidence of the value of lifelong learning as related to best practices in client care and program goals, standards, and desired outcomes

Serves on agency or community councils and teams (or assures the agency is represented) based on agency/community needs and the agency’s priorities.

JOB SPECIFICATIONS:

 

EDUCATION:

-       Must have a Master's Degree and at least 2 years of experience

 

LICENSURE, REGISTRATION, CERTIFICATION:

-       Must have a valid driver’s license and the ability to be granted driving privileges for company vehicles by West Tennessee Healthcare Risk Management

 

EXPERIENCE:

-       Preferred to have at least two (2) years of experience in the mental health and/or substance use recovery field. 

 

KNOWLEDGE, SKILLS, & ABILITIES:

-       Exhibits proficiency in Microsoft Word, Excel, Outlook, and PowerPoint

-       Exhibits the capacity to learn and utilize electronic medical records and other software programs quickly and effectively

-       Demonstrates professional written, verbal, and nonverbal communication

-       Must possess skills and proficiencies in the principles, concepts, and techniques of the management profession 

-       Demonstrates the ability to set priorities for tasks, to work effectively under minimal supervision, is exceptionally organized, described by others as a self-starter, reliable, dependable, and motivated

-       Demonstrates willingness to adapt to new technologies, processes, and systems

-       Demonstrates an understanding of adverse childhood experiences (ACEs), their potential effect on the health and well-being of individuals, and utilizes best practices to support the agency’s efforts in offering trauma-sensitive and trauma-informed care

 

INTERPERSONAL REQUIREMENTS:

-       Demonstrates leadership and supervisory abilities

-       Demonstrates the ability to communicate effectively and build rapport with clients and family members, as well as all levels and facets of agency personnel, community organizations,  governing bodies, funding sources, and other regulatory bodies

-       Contributes to a positive work environment and the overall team effort of Pathways and West Tennessee Healthcare

-       Flexible and innovative, exhibiting the initiative to function with limited supervision

-       Addresses interpersonal conflict concerning colleagues or supervisors with humility, respect, and frankness, following the chain of command when needed to resolve issues effectively and timely

-       Ability to work well under pressure

-       Direct and monitor the performance of staff in the HIM, Medication Clinic–Summar Office, and Front Desk & Reception staff–Summar Office.

PHYSICAL DEMANDS:

-       Able to perform various physical demands of the job that include but are not limited to prolonged standing, sitting, typing, walking, driving, climbing stairs, lifting/carrying objects, etc.

 

ENVIRONMENTAL CONDITIONS:

-       Standard office conditions as well as being prepared to work in the community in various weather conditions and travel throughout West Tennessee as needed to other agency locations or partner locations

-       May have daily interactions with clients, some of whom have severe mental illness, who are seriously emotionally disturbed or chemically dependent who, due to their impairments, may be at high risk for labile, volatile or unpredictable behavior
