**The Department of Ophthalmology has an outstanding opportunity for a Program Operations Specialist to join their team.** **OVERVIEW**
This position in the Department of Ophthalmology manages numerous aspects of the residency program including curriculum development, facilitation of research pathways, speaker series, departmental onboarding, and alumni development activities. Other responsibilities include managing the departmental Continuing Medical Education accreditation, associated lectures, and other educational events for structured programs like residencies and fellowships in addition to asynchronous adult learning opportunities for other faculty.
Reporting to the Education Manager, this position is an integral member of the education team and will regularly interact with colleagues and Program Directors to oversee planning, scheduling, and program implementation, this position will provide curriculum support in order to maintain a successful training program while running the day-to-operations.
**DUTIES AND RESPONSIBILITIES** Resident Program (50%)
The Education Program Specialist is the liaison for all residents within the department and a representative of the education team concerning all matters relevant to the program as it interacts with of aspects of the department and other groups including UW GME and ACGME. Their responsibilities include:
+ Curriculum development, including didactic scheduling for R1-R4, design and dissemination of trainee study materials, and related resources.
+ Management of the matching and interview process and onboarding/offboarding of residents including required trainings, compliance and access needs.
+ Development and operation of call schedules for residents.
+ Program evaluation to assess the needs of trainees, faculty, and other program staff.
+ Oversight of the Wet Lab schedule and facilitation, including coordination with outside vendors and faculty.
+ Research support including facilitation of resident research day.
+ Supporting resident alumni events and communications.
+ Assisting Education Manager with maintaining program accreditation and compliance.
+ Continuous process improvement of the program.Continuing Medical Education (20%)The Education Program Specialist is responsible for managing all aspects of the department’s CME program. Responsibilities include:
+ Work with faculty to develop CME opportunities.
+ Interface with UW CME for initial applications and reconciliation.
+ Ensure participants receive accreditation materials in a timely fashion.Asynchronous Adult Learning Programs (20%)This position manages the coordination, scheduling and day-to-day operations of numerous events, conferences, and programs within Ophthalmology that provide educational opportunities for faculty, staff and other members of the community as appropriate. These include:
+ Grand Rounds: under the direction of the faculty manage week-to-week scheduling, maintain MedHub calendaring, attendance collection, and program evaluation.
+ Resident Alumni Day: manage the annual resident event, including venue selection, catering needs, day-of logistics, liaise with program directors regarding activities and speakers.
+ Gained in Translation: manage the biannual research event, including venue selection, catering needs, day-of logistics, liaise with program directors regarding activities and speakers.
+ WAEPS: Work with program directors to develop schedule, speaker series, CME materials, travel & itinerary, honorariums, and day-of logistics.Other Duties (10%)
+ Assist with departmental special initiatives or events as needed.
+ Participate in departmental process improvement activities.
+ Work with communications team to ensure accuracy of education related materials in internal/external communications.
+ Serve as backup for education team members in their absence.
+ Other duties as needed. **MINIMUM REQUIREMENTS**
+ Bachelor’s degree in business, health-related field or similar.
+ Two years in an administrative, operations, or program management position. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS**
+ Demonstrated critical thinking skills, ability to problem-solve, and exercise good judgment.
+ Ability to work independently as well as in a collaborative team environment with colleagues.
+ Computer program skills: proficiency in Microsoft Office applications; experience/willingness to learn Medhub, SFMatch.
+ Excellent organizational skills; ability to multitask, prioritize and meet deadlines.
+ High degree of reliability, accuracy, and productivity with attention to detail. **DESIRED QUALIFICATIONS**
+ Three years in an administrative, operations or program management role with duties of increasing complexity.
+ Previous experience working in the UW and/or School of Medicine or in an academic or health care setting and/or experience with educational programs.
+ Familiarity with UW accreditation and other regulatory bodies.
+ Familiarity with UW and/or UW Medicine systems. **CONDITIONS OF EMPLOYMENT**
+ Ability to start the workday at 6:45 am on occasion, and work occasional weekends and evenings for special events.
+ Must be able to travel to sites within Seattle as necessary.
