JOB SUMMARY
Provides specialized administrative support for bureau, programs, committees, and affiliations.
MINIMUM QUALIFICATIONS
One (1) year of general office skills.
Must be bilingual in English and Spanish, and requires reading, writing, and speaking both English and Spanish fluently.
Due to the nature of this position, the successful applicant must pass a required background check through fingerprinting and enrollment in the continuous RAP Back (Record of Arrest and Prosecution Back) program in accordance with current County Human Resources policy requirements.
A valid Driver’s License accepted by the State of Utah is required at the time of hire. A valid Driver’s License issued by the State of Utah must be obtained within six (6) months of hire to operate a County vehicle.
It is mandatory that all new hires receive the Tdap (Tetanus, Diphtheria & Pertussis) vaccine before beginning employment or provide a copy of their immunization record prior to starting employment. The immunization record must show the vaccine name and date received.
Upon hire, a two-step Tuberculosis skin test will be required. The first will need to be placed prior to starting employment.
ESSENTIAL FUNCTIONS
+ Provides specialized administrative support and assistance for assigned programs.
+ Provides clerical support, including composing and preparing complex correspondence, agendas, minutes, and managing office calendars.
+ Maintains webpage information.
+ Ensures program records and information are maintained and stored per retention schedules and policies.
+ Assist in developing and preparing materials used for public education, presentations, and workshops.
+ Enters and collects data and assists in disease report preparation and distribution.
+ Interacts and communicates with public, government, business and community leaders.
+ Initiates and processes purchase orders, places and receives office supplies, tracks inventory and other provides other office support as needed. Tracks program budgets, assists with cash handling and deposit preparation as needed.
+ Provides general information/assistance regarding department/division services, activities, locations, procedures, scheduling, timeframes, documentation, fees, or other issues.
+ Distributes public health information as requested. Receives, distributes and routes incoming and outgoing mail.
+ Types and proofreads documents and makes appropriate corrections. Records meeting minutes and assists with follow up on committee/board members’ assignments and activities.
+ Processes and issues certificates, and/or permits. Receive monies, records transactions, and issues receipts; forwards revenues and reconciles transactions according to policy and procedures.
Additional Information
This position works Monday through Friday 8:00 am to 5:00 pm, with some Saturday and evenings hours due to event. This position has a possiblity for hybrid work after passing probation.
This position requires travel throughout Salt Lake County to provide outreach to medical offices and community providers. This position will also attend community health fairs. This position will work occasional Saturdays and evenings to provide outreach at community events and needs to be able to carry boxes of supplies and set up and tear down displays at events. This position works within the EPSDT program and calls families to inform them about their well-child and other benefits with EPSDT/Medicaid.
