Glimpse of the Job
The Department of Engineering Technology and Industrial Distribution is looking for a Program Specialist II to join the Thomas and Joan Read Center for Distribution Research and Education (Read Center). The Program Specialist II, under general supervision, provides support to manage the TJRC operations and events. Responsibilities will include office management, scheduling and promoting events and visits, facility management, TJRC partners management, and assisting with center planning and reporting while exercising discretion and independent judgment with respect to matters of significance.
Who we are
Thomas and Joan Read Center (TJRC) for Distribution Research and Education, is the world’s only distribution research center on a university campus and the only center focused on wholesale distribution research and education in the nation. For over 60 years, the Read Center has worked with Industry Leaders and their corresponding projects to discover new ways of productivity and profitably addressing and serving marketplace needs. The Center collaborates with three branches: Continuing Education, Industry Consortia, and The Talent Incubator Program. These programs recruit the best students from the Industrial Distribution Program and conduct knowledge creation with the Distribution Industry.
Responsibilities:
+ Administrative Support: Process purchases for the center, maintain ProCard for use by center leadership and complete monthly ProCard Expense Reports. Coordinate travel arrangements for the faculty, students, and staff and prepare itineraries. Prepare and submit travel-related documents for the faculty in the Concur E-Travel System. Plan and coordinate meetings, seminars, and other special events. Make recommendations for process improvements, administrative changes, or new initiatives. Analyze programs, projects, or initiatives to compile information and create reports. Maintain files and confidential information and record retention according to university guidelines.
+ Center Support: Plan and coordinate logistical and administrative support for guests visiting the center, and specialized activities, projects, long-term initiatives, or new programs, and provide administrative support for other teaching and research faculty in that program. Assist with the overall operations of the center by managing day-to-day tasks and supporting strategic initiatives. Assist with center-related reporting, including annual reports, proposal documentation, and performance metrics.
+ Communications and Events: Coordinate logistics for center events and meetings, including managing schedules, booking travel, coordinating with speakers and attendees, arranging space and equipment/AV, and promoting events and research to internal and external audiences. Manage marketing materials for center initiatives and various constituent groups (students, staff, faculty, and industry partners). Liaise with participating/sponsoring organizations and be the main point of contact at events and meetings. Develop, edit, and update documents for internal and external audiences, particularly documents, presentations, and other communication material to promote center initiatives. Work with the communications team and manage social media content and other marketing outlets.
+ Industry Engagement: Maintain a positive working relationship with the ID affiliated experts, and industry contacts. Support and organize industry engagement activities with affiliated experts to host workshops, seminars, short courses, etc.
+ General: Exhibit a high level of professionalism, customer service, efficiency, and confidentiality. Work with the team of faculty, staff, and students. Participate in university, division, and/or department committees and task forces. Perform other duties as assigned.
+ Special Note: Requires occasional evening, night, weekend, and holiday work.
What we need:
+ Bachelor’s degree in applicable field or equivalent combination of education and experience.
+ Two years of related experience.
What is helpful:
+ Experience and full proficiency in Microsoft Office, Google Drive, Slack, and Zoom
+ Working knowledge of design and website software (Publisher, Photoshop, etc.)
+ Experience & proficiency using scheduling software such as Outlook, When2Meet, DoodlePoll, and/or Calendly
Knowledge, Skills and Abilities:
+ Ability to use technology to improve work practices and communication flows
+ Excellent oral and written communication skills (including the ability to draft/edit correspondence)
