GENERAL DESCRIPTION:
The Wyoming Department of Health, Division of Healthcare Financing, seeks an at-will administrative assistant in Cheyenne, Wyoming. This position will serve as the Program Support Specialist, assisting with in-office duties in the Adult Hearing Aid Program waitlist and Administrative Unit. This position will help achieve the program’s objectives by coordinating a waitlist for hearing aid funding and will function as the first line of support for both internal and external clients.
This position is an At-Will Employment Contract (AWEC) and includes a single Health Insurance plan. This position pays for actual hours worked and is limited to 40 hours per week. This position does not include paid vacation time, paid sick time, paid holidays, family health insurance, retirement, or other benefits. These items are not negotiable by the hiring manager.

+ Data Entry: Perform data entry tasks and maintain the waitlist for the Adult Hearing Aid Program
+ Effective Communication: Communicate effectively with staff, outside vendors, and customers via phone, email, or in person regarding the Adult Hearing Aid Program, as well as general inquiries about Wyoming Medicaid
+ Call Handling: Receive and answer or redirect incoming phone calls, address routine questions, and provide follow-up information on various requests or services.
+ Filing Systems: Develop and maintain filing systems as required.
Qualifications
PREFERENCES:
Associate's Degree, typically in business, plus 0-2 years of progressive work experience
OR 2-4 years of progressive work experience, typically in a business office setting
KNOWLEDGE:
+ Experience in providing excellent customer service and support for multiple programs.
+ Skills in effective communication, both written and verbal.
+ Skills in managing time and priorities.
+ Ability to identify issues and escalate as needed.
+ Ability to learn technology and internal processes quickly.
+ Knowledge of applicable federal, state, and local laws, codes, regulations and policies, technical processes, and procedures related to the department.
+ Ability to organize and prioritize work.
+ Typing / Transcription proficiency.
+ Proficiency in data entry
+ Proficiency in scheduling coordination.
+ Proficiency in preparing reports.
+ Excellent organizational skills with the ability to prioritize work.
+ Experience using computers and office equipment (scanners, printers, copiers, etc.).
+ Proficiency with Google G-Suite, including Google Docs, Google Sheets, Google Drive, Google Calendar, and Google Forms.
+ Proficiency with Microsoft Office suite (Word, Excel, PowerPoint),
+ Proficiency with audio and video conferencing systems.
+ Proficiency with work order systems.
+ Ability to handle confidential and protected information.
+ Excellent written and oral communication skills.

PHYSICAL WORKING CONDITIONS:
+ The employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
