Role description:

Arcadis is looking for (Part-time) Project Administrative assistant, to support our Construction Managers and their team within our Resilience Water Business Area of San Diego Riverside areas! 

We are looking for an energetic Project Assistant who will be responsible for supporting our construction management teams in the field, office management team, client and marketing team members, and project engineering teams with day-to-day tasks. Project specific work will include tracking progress of various ongoing projects, preparing reports for management use, arranging team/project meetings, monitoring schedules, project budgets and preparing and distributing routine correspondence related to the projects, for a variety of project teams simultaneously. 

Role Accountabilities:

This role offers opportunities to work on diverse projects and administrative assignments. The candidate in this role must be comfortable in performing a wide variety of tasks utilizing various software tools and systems, working remotely with periodic site visits. 

Additional responsibilities will include:

Periodically working on a construction site managing project files, inspection reports, and other data, scheduling meetings and recording and transcribing meeting minutes. Assisting field staff with Asbuilt markups utilizing Bluebeam and other software.  Record keeping and tracking of project documentation.  Assisting with gathering information and data to support proposal development and experience with preparing resumes, project descriptions and proposals desired. Assisting with review and support of invoice preparation. Preparing PowerPoint presentations for Clients and project teams. Completing edits to reports and other project correspondence as assigned. Verify invoicing complies with contract terms, support CPMs in preparation of invoice materials. Participate on monthly project reviews with Finance Managers and Project Managers. Regular tracking, monitoring, and report preparation.  Ability to work overtime, as needed.

Required Qualifications:

8 years of technical/administrative experience.

Key Skills/Attributes:

Proficiency with Microsoft Office applications particularly Word, Excel & PowerPoint, Procore, CIPO and Bluebeam. Ability to work under time constraints to accomplish goals and objectives in a timely fashion.  Ability to tackle a wide variety of diverse assignments and projects simultaneously. Strong attention to detail. 

Preferred Qualifications:

Strong understanding of project planning tools and software such as MS project. Construction Contractor experience a plus Previous experience with the client billing procedures. Experience with Adobe Experience with Power Point for presentations. Experience with Oracle business system applications software. other document control software

Actual salaries will vary and are based on several factors, such as experience, education, budget, internal equity, project and location.
