Job Title: Project Administrator
Location: Syracuse, NY
Duration: 12 Months (Contract)
Hours: 37.5 hrs/week
Schedule: Hybrid onsite role – 3 days per week
Position Summary:
The Project Administrator will support New York State Canal System infrastructure projects by performing a variety of financial and project management tasks. Under the direction of Project Engineers, the administrator will ensure documentation, budgeting, scheduling, and coordination efforts align with project goals.
Key Responsibilities:
+ Prepare requests for new projects and related administrative documentation.
+ Draft project plans, risk registers, justification memos, contractor award memos, and scopes of work.
+ Create purchase requisition worksheets, gather accounting data, and assist with contract setup.
+ Participate in scheduling meetings and update project costs and schedules in Excel.
+ Maintain financial tracking systems (UOPP) and ensure consistency with project budgets.
+ Forecast project budgets and resource needs; update budget status regularly.
+ Prepare award and change order memos to authorize contract funding adjustments.
+ Track monthly invoices, prepare accruals, and monitor payment status.
+ Review and verify completeness of consultant reports, meeting minutes, and agendas.
+ Coordinate stakeholder review of major deliverables, track comments, and manage follow-up actions.
Required Qualifications and Skills:
+ Proficiency in MS Word including indexing, cross-referencing, and formatting.
+ Advanced MS Excel skills: SUMIFS, COUNTIFS, Pivot Tables, and chart creation.
+ Strong written communication skills, including the ability to convey technical content clearly.
+ Preferred: Experience with project/construction management software such as Procore or similar.
+ Familiarity with SAP and purchase order systems for cost tracking is a plus.
Education and Certifications:
+ Bachelor’s degree in Civil or Environmental Engineering, Construction Management, Business Administration, or related field.
+ Minimum of 1 year of experience in engineering, construction management, or project administration.
