Our Environmental Services team is searching for an experienced Project Administrator to provide support with the day to day administrative requirements for the Petaluma office. The Administrative Assistant will perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.
Prepares correspondence, proposals, reports, schedules, minutes, spreadsheets, presentations, database lists, specifications and contracts.
Organizes, attends and minutes meetings including the coordination and tracking of action items and deliverables.
Creates and maintains project plans, schedules and deliverables.
Processes mail, expense reports, invoices, field notes, orders, timecards etc.
Manages calendars, schedules meetings, books meetings rooms.
Coordinates travel itineraries and arrangements.
Assists with document control including filing and archiving.
Performs other administrative duties as required.
Performs word processing, formatting, data entry, and report production
Tracks office, equipment, and vehicle maintenance and performance metrics
Manages office vendors and ordering supplies
Plans and implements company functions
Your Capabilities and Credentials
Excellent written and verbal communication skills.
Strong multi-tasking skills with the ability to prioritize and organize multiple concurrent assignments.
Must be willing and able to work as part of a team and to take initiative when needed.
Proficiency in MS Office Suite.
Education and Experience
High School Diploma with minimum of 2-3 years experience; or Post secondary degree in related field with minimum of 2-3 years experience; or equivalent combination of education and experience.
