Project Administrator
Job Title: Project AdministratorJob Description The Project Administrator will work extensively with both the Project Manager and Field Superintendent to execute project-specific documentation, billing/invoicing, pay applications, job costing, pre-qualification, and submittal needs for multiple projects. These tasks will be completed via multiple construction-specific web-based information exchange software. Responsibilities + Work closely with project managers, superintendents, and vendor partners to assist with project administration and manage multiple projects and schedules. + Ascertain project scope for newly awarded projects and attend handoff meetings. + Handle inquiries from vendor partners with excellent communication, promoting cooperative and professional skills. + Understand client partner requirements regarding revision management, closeout documentation, change order administration, and progress reporting. + Prepare sub-contracts, purchase orders, change orders, monthly applications, and time & material invoicing for payment, and track the status of each for prompt return and thorough execution. + Coordinate the submission of product/material submittals for the projects. + Coordinate and/or obtain all closeout documents such as warranty letters and product information, and prepare closeout documentation for clients. + Address billing discrepancies jointly with the Project Manager. + Participate in project management meetings and/or facilitate requests for information (RFI's). + Coordinate submittal management. + Partner with Field Superintendents to coordinate drug screening or any project deadline-oriented specific needs. Essential Skills + General understanding of basic accounting and job costing principles. + Proficient in Microsoft Office products including Excel, Word, PowerPoint, and other Microsoft applications. + Working knowledge of project budgets, schedules, and design phases. + Exceptional organizational skills with proven ability to prioritize daily tasks to meet deadlines, ensure efficient workflow, and handle multiple tasks simultaneously. + Experience in the construction industry is an advantage. Additional Skills & Qualifications + Experience with Vista Viewpoint, DropBox, BlueBeam, Aconex, ProCore, and other information exchange systems, with the ability to learn new systems. + Ability to work well under pressure and multi-task effectively. + Ability to work effectively and productively both independently and with a wide variety of people in an environment of rapidly changing deadlines and priorities. + Professional demeanor with strong verbal and written communication skills. + Detail-oriented approach to daily activities and a self-starter attitude. + Hands-on, problem solver with proactive thinking outside the box. + Resourceful, creative, and able to adapt quickly and effectively to unexpected changes in a positive manner. Work Environment The work environment involves working closely with project managers and field superintendents. The role also involves attending meetings, coordinating with vendor partners, and ensuring effective communication and cooperation.
