The Alaka`ina Foundation Family of Companies (FOCs) has a need for a Project Administrator to support our government customer located in Silver Spring, MD.
DESCRIPTION OF RESPONSIBILITIES:
Provide administrative support to the contract as well as managing the ordering, receipt and processing of logistical supplies.
Assist employees with in-processing and out-processing procedures specific to the WRAIR/NMRC contract site.
Schedules all employees for annual physical and twice a year Tb testing.
Files records and documents related to the operation and maintenance of a research animal facility.
Prepares and submits written reports, records, charts, logs and inventories as requested by your supervisor; orders contractor purchased supplies of feed, bedding and supply orders to the client representative.
Manage the receipt of animals, prepare documentation and process animal receiving information.
Collect and process per diem billing for submission to investigator for payment.
Interface with VSP purchasing agents and ensure documentation is received and forwarded to the Resources and Operations Branch.
Collect and file facility documentation for immediate retrieval as requested.
In the absence of the Project Manager, provide management oversight of the contract.
Purchase and maintain adequate stocks of supplies, for example: the feed, bedding, vivarium-use PPE, feed enrichment and cleaning supplies to support the animal research mission.
Recommend changes to the list of approved supplies and authorized vendors through the COR for like items of better value if in the best interest of the Government and/or the animal care program.
Develop a purchasing and inventory plan to minimize excessive storage of on-hand supplies and waste due to expiration.
An annual inventory report of animal caging by vendor and characteristics (ventilated, grommeted, static, hanging, quad, etc.) to include all animal caging and component parts, e.g., cage bottom, water bottles, lids, wire bars, etc.
Maintain inventory listings on the shared VSP intranet drive in Excel spreadsheet format for use in developing stock inventories.
Receive and visually inspect each shipment. Feed and bedding will not be accepted in damaged bags or if of the incorrect type and quality, or if milling date is less than 30 days from expiration.
Sign, date, and maintain all invoices, receiving documents, and packing slips of Contractor purchased items.
Provide to the applicable Resources and Operations Branch (ROB) purchasing agent all invoices, receiving documents, and packing slips of Government purchased items within two business days of receipt.
Uncrate and assemble laboratory animal equipment unless otherwise directed.
Store all supplies in designated storage areas; feed and bedding shall be stacked and stored off the floor.
Assure the freshness of feed through proper rotation on a first-in, first-out basis.
Animal feed shall not be fed passed the manufactures expiration date. Report expiration issues or abnormalities as required and inform the COR.
REQUIRED DEGREE/EDUCATION/CERTIFICATION:
Must be AALAS certified at the LAT level
REQUIRED SKILLS AND EXPERIENCE:
Preferred – Minimum three (3) years of experience working in animal research facility.
Preferred – Minimum three (3) years of experience preparing per diem billing, ordering facility supplies and equipment, and maintaining facility documentation.
Must have a working knowledge of Microsoft programs and other general office equipment.
Must have knowledge of ordering feed, bedding, animal supplies and equipment; knowledge of calculating per diem billing.
Must possess the knowledge and experience to provide management oversite of the contract, in the absence of the Project Manager.
