Project Administrator Assistant (12 month contract)

Compensation: $45,000 - $60,000, dependent on experience

 

Candidate Profile:

We are seeking a diligent and dynamic individual to join our team as Project Administrator Assistant for our Building Science and Restoration Team (the Team)  in Victoria. In this role, you will work with the Team to help track and deliver our projects. The focus of this position will be on assisting with the execution of, and communication about, various internal and external projects.  A strong ability to support a team is required. Good writing skills, and fluency with software such as MS Word and Excel are needed in this role as is a desire and willingness to learn new software and develop tools and processes. The ideal candidate will be highly organized, detail-oriented, show self-initiative, and possess excellent communication and interpersonal skills. You should be proficient at focusing on detailed project tasks using the full suite of Microsoft Office software and working electronically with colleagues in other RJC island offices.

For the right candidate, there is ample opportunity to grow this entry-level position into an integral role within the admin.

This is an opportunity for a 12 month contract, with the opportunity for part time or reduced hours during this time period. Upon the end of the contract period, there may be full time permanent roles available to continue your career with RJC!

Administrative Duties:

Liaise with other Project Administrators to cohesively support the broader team Type, edit, proofread, and produce various administrative documents including proposals and related reports and correspondence. Digitally file documents and maintain templates for efficient proposal workflow, as necessary. Tracking project deliverables and resources using software tools and input from the project team. Assist with boardroom meetings, and lunch and learns.
Assist with maintaining Archive File Database (digital and hardcopy) Performs other administrative duties as may be assigned from time to time

Word Processing:

Create, edit, and proofread documents such as fee proposals and related reports and contract documents. Coordinate printing and binding of proposals and reports as necessary.

Filing and Document Control:

Assist in filing digital and paper correspondence, invoices, reports, and proposals. Assist with receiving, processing, sorting and filing of internal and external documents such as invoices, test reports, submittals, requests for information and related financial and contractual documents (letters, reports, proposals, design notes, drawings, meeting minutes, and promotional materials) Maintain the archive file database, ensuring accuracy and accessibility of records.

General Housekeeping Maintenance:

Ensure cleanliness and tidiness of office spaces, particularly after meetings and presentations. Assist with miscellaneous facility duties as required.

Qualifications:

High school diploma or equivalent; additional qualifications in office administration or related field preferred. Working knowledge of database management Intermediate to advanced skill levels with Microsoft Word, Excel, PowerPoint and Adobe Acrobat (Experience with Microsoft Project is desirable) Committed to client service Previous experience in administrative role is a definite asset. Proficiency in Microsoft Office Suite and familiarity with office equipment. Strong organizational and multitasking Excellent verbal and written communication skills. Ability to maintain confidentiality and professionalism at all times. A fun sense of humour
