Reporting to the Associate Administrator, this position is responsible for planning/coordinating/operationally implement special projects as assigned. This position supports assigned Leadership in the Department of Obstetrics & Gynecology and Women's Health. S/he is responsible for thoroughly and accurately managing the affairs of clinical or administrative leadership, regularly exercising independent judgment in a variety of arenas, conflicting priorities, with little or no direct supervision. Duties include calendar maintenance, meeting coordination (in-person & virtually), travel coordination, luncheon/dinner coordination, schedule reconciliation (clinical and administrative), drafting presentations, reimbursements, and other clerical duties as assigned. Finally, the position is responsible for independently managing moderately complex projects that support the Office of the Chair and Unified Administrator. S/he must perform these broad functions with limited direction, and the outcomes must be thorough, complete, on time, virtually error free.
Responsibilities
· Managing complex day-to-day schedule of Assigned Physicians/ Leadership
· IT Coordination/Maintenance
· Managing travel for Assigned Physicians / Leadership
· Knowledgeably, accurately and sensitively drafting editing, finalizing and publishing faculty schedules, public and confidential reports, correspondence and presentations on behalf of Assigned Physicians;
· Reviewing, distributing & disposing physical & electronic communications with acumen and accuracy;
· Organizing and overseeing file management & information retrieval systems.
· Performs administrative functions related to the project such as data reporting, and other office-based functions. Prepares agendas and facilitates department and site based meetings.
· Collaborates with marketing and public relations on behalf of Assigned Physicians. Transforming, designing, maintaining website/social media while developing internal workflows to maintain open communication highlighting departmental innovations.
· Develops technical expertise in all aspects of project development and disseminates that expertise across the department/Faculty.
Qualifications
· Associates degree REQUIRED; Bachelor’s degree PREFERRED
· 5 years work experience
· Skilled at maintaining an independent database, running reports, and reconciliation
· Highly technically proficient in Word, Powerpoint
· Adept at Excel (e.g., pivot tables, vlookup) and able to understand and use spreadsheets created by finance team
· Demonstrate ability to exercise discretion with highly sensitive confidential information
