Project Associate - Lifetime Learning Program

University Advancement’s Office of Engagement at the University of Virginia is currently seeking an energetic, creative, and organized Project Associate for its Lifetime Learning Program. The successful candidate will assist with stewardship, documentation, and coordinating faculty participating in the Office of Engagement programs.

Reporting to the Senior Director, Lifetime Learning, this individual will oversee project deadlines and assist with coordinating and executing programs for alumni, friends, and families. This position is responsible for managing reports and budgets for all Lifetime Learning programs/projects, making necessary purchases and payments for services and goods, managing contract processes, and tracking Lifetime Learning expenses. The ideal candidate will work effortlessly within a project management software, and establish tracking methods to keep programs on time and within budget. The Project Associate for Lifetime Learning holds a key role in the organization as writer and editor of letters, marketing and promotional campaigns, and documents.

Responsibilities:

Project Management: Oversees project deadlines, coordinates logistics for public programs involving alumni, parents, and friends, and makes recommendations to project leadership.

Event Agenda and Coordination: Coordinates with faculty speakers on event agendas. Collaborates with team members to organize events for hundreds of participants, both in-person and virtually.

Stakeholder Engagement: Ensures the director, partners, and key stakeholders meet deadlines and have the necessary resources for successful program/project outcomes.

Budget and Reporting: Manages reports and budgets for Lifetime Learning programs/projects, including making purchases, managing contracts, and tracking expenses. Establishes methods to keep programs within budget and on time.

Communication: Keeps the Senior Director informed of spending and any unusual situations.

Decision Making: Interprets information, analyzes data, and makes informed decisions. Recommends new processes based on policy changes and / or situational needs.

Policy Compliance: Maintains knowledge of and complies with organizational policies and procedures related to project/program execution.

Team Support: Assists the Lifetime Learning team with tasks related to projects/programs.

Announcements: Creates informative department announcements monthly.

Travel Coordination: Books travel arrangements and updates the department travel calendar with team schedules.

Program Development: Establishes and seeks new topics, faculty, and potential program ideas for the Lifetime Learning team.

Collaboration: Supports other Office of Engagement administrative team members and attend regular administrative team meetings.

Content Creation: Invites faculty to write articles for UVA’s alumni and parent community, manage and edit the public-facing blog, and reviews all Lifetime Learning documents and  marketing materials.

Writing / Editing: Drafts letters, notes and other documents.

Technology Integration: Works closely with University-approved Artificial intelligence (AI) technology.

Additional Duties: Performs other duties as assigned.

Required Qualifications:

Education: Bachelor's degree.

Experience: Minimum of two years of relevant experience. Internships or volunteer work may be considered.

Skills:

A demonstrated interest in higher education and/or philanthropy and a willingness to quickly learn and develop deeper knowledge about these fields.

Experience in alumni programming, event planning, project management, and/or marketing and communication.

Excellent verbal and written communication skills; ability to communicate confidently, professionally, and effectively with stakeholders, executive leadership, and colleagues. Excellent verbal and written communication skills.

Ability to create and edit documents for the Lifetime Learning program.

Strong organizational and project management skills.

Proven problem-solving aptitude and sound judgment. Great decision quality.

Technical Proficiency:

Competence in using computers and related software/hardware, including Microsoft Outlook, Word, Excel, WordPress, Canva, Monday.com (or other project management software), and AI tools.

Availability: Willingness to work evening and weekend hours, and ability to travel overnight as required.

UVA Advancement offers a flexible and hybrid workplace. All team members must have access to and maintain a secure home office environment with high-speed internet service and work collaboratively with others using various technologies and tools. This position may be required to work intermittently in a shared office space located in Charlottesville, Virginia. This position is hybrid and the incumbent must live within a reasonable driving distance of Charlottesville.

Anticipated Hiring Range: $54,000-$58,000 / year and is commensurate with education and experience.
