Overview of The Role
Reporting to the Director of IT PMO, the IT Senior Analyst PMO/Project Control Officer (PCO) is responsible for ensuring robust project governance, financial management, and reporting within the Global IT PMO. This role supports portfolio and project managers by maintaining project controls, tracking and reporting on performance, and ensuring adherence to PMO standards and methodologies. Additionally, the PCO plays a key role in optimizing processes in project controls and handles administrative tasks such as onboarding and offboarding resources, managing resource capacity, coordinating gating processes, processing IT vendor invoices, and drafting reports.
How you will make contributions that matter:
Collaborates with project and portfolio managers to support the implementation and maintenance of project controls, including tracking schedules, monitoring costs, managing risks and issues, and producing status reports for key initiatives.Monitors and supports project budgets, forecasts, and actuals, manages the invoicing process, resolves discrepancies, ensures timely and accurate accruals, and performs variance analysis to aid financial decision-making.Supports adherence to PMO governance frameworks, methodologies, and standards.Compiles and analyzes data across projects and portfolios, such as resource capacity, timesheet actuals, and project performance, to generate accurate and timely reports and executive dashboards.Coordinates the onboarding and offboarding of IT resources, ensuring accurate maintenance of resource profiles and allocation to support project planning and resource capacity management.Assists project managers with the creation and ongoing maintenance of project schedules, ensuring that key dependencies, milestones, and deliverables are clearly defined and monitored.Facilitates risk and change control processes by helping document, assess, and track changes to project scope, schedule, or cost in accordance with governance and approval requirements.Provides direct support to project managers on large and complex projects by maintaining project controls and tracking progress, while also supporting portfolio managers in monitoring the overall performance of the broader project portfolio.Identifies and recommends opportunities to improve PMO processes, tools, and templates to drive greater consistency, efficiency, and effectiveness across project delivery activities.Supports Project Leads on projects by providing guidance, sharing best practices, and providing assistance across various project management activities, ensuring successful project delivery and adherence to PMO governance and standards.Uses project and portfolio management tools (e.g. Project Online, Power BI) to manage and report on scheduling, financials, and resource data.Performs additional administrative tasks as required in support of PMO operations or individual project needs, such as maintaining document repositories, organizing project meetings, and tracking action items.You Are Best Suited for The Role If You Have the Following Qualifications:
Degree in Information Systems, Business Administration, or other related field or equivalent work experience. 5+ years of project support/coordination experience in an IT environment.Proficient in MS Office (i.e. Word, PowerPoint, MS Project Online, Excel) and SharePoint.Strong analytical, organizational, and multi-tasking skills. Excellent communication and inter-personal skills; ability to provide updates to Director and VP levels; adept at building relationships with internal teams and external partners.Experience working in multiple time zones and with global teams is an asset. Ability to collaborate at all levels of the program and demonstrate self-starter capabilities, experienced to resolve issues autonomously. Ability to operate in complex, fast paced project environment with interdependencies spanning multiple work-streams, teams, business divisions, geographies, time zones, and languages.Ability to adapt and adjust quickly to changing priorities.As part of their duties, the incumbent will have to communicate and collaborate in English, both orally and in writing with colleagues or other stakeholders in Quebec as well as in the rest of Canada or in North America.
