Job Purpose
Responsible for managing Client Correspondence, implementing and upholding Governance across the business, and managing effective Document Control and Records Management in conjunction with the Document Controller.
Create, apply and maintain robust governance to the program of works being undertaken by the business both internally and externally with customers to enable enhanced business decision making.
Contribute to the continuous improvement of the processes and procedures adopted by the business to enable projects and other initiatives to be conducted in an efficient and disciplined manner.
Key Responsibilities
• Create and lead the Governance Reporting cycle for the various programs of work, ensuring reports are produced on time in advance of the meetings and leading the business to producing their inputs on time and to the required quality standards.
• Establish and maintain a database for governance and committee decisions.
• Facilitate and be the central point of contact for all governance meetings and keep a record of meeting minutes where applicable.
• As part of regular reviews of work methods and processes suggest alternative and innovative ways to resolve any issues that arise. Evaluate and help to implement process improvements to improve project delivery.
• Creation and Maintenance of central Lessons Learned register.
• Manage Client correspondence using UGLRL systems, maintaining compliance with all deadlines stipulated in the Deed and Scope of Works.
• Interface with the Project Controls Officer – Reporting to ensure that all Appendix H, Management Plans and Excluded documents are submitted on time to the Client and entered into the DMS as Controlled Documents.
• Own and manage the Document Control function across UGLRL, including the uplift of systems and implementation of policies and procedures to facilitate effective document control functions.
• Own and manage the Records Management function across UGLRL, including the uplift of systems and implementation of policies and procedures to facilitate effective records management functions.
Qualifications
• Tertiary qualifications in Business Administration, Project Management, or equivalent experience in a similar role.
• Previous experience with electronic records and document management systems; project management systems; asset and/or engineering management systems, in a project environment.
• Experience with Microsoft Office, SharePoint, SAP, P6, Power Bi, Tableau, Powerpoint, Excel and other reporting mechanisms desired.
