Project Controls Specialist / Administrative Analyst

Role description:

Arcadis is immediately seeking a highly organized and detail-oriented Project Controls Specialist / Administrative Analyst to join our team in Los Angeles. In this role, you will play a critical part in ensuring the successful planning, execution, and administration of projects while supporting day-to-day operations. This position is ideal for a proactive professional with strong analytical, problem-solving, and organizational skills.

Role Accountabilities:

Fiscal Year Work Authorizations: Distribute and manage annual work authorizations for subcontractors. Subcontract Agreements: Issue and manage subcontractor agreements to ensure proper documentation and compliance. Certificate of Insurance (COI) Tracking: Monitor subcontractor insurance policy expiration dates and coverage amounts to maintain contract compliance. Client Approval Forms: Draft and submit approval forms for new hires following client requirements. Administrative and Contract Support: Act as the main point of contact for administrative tasks, including managing project contracts and financial documentation. Invoice Preparation: Prepare monthly invoices and coordinate with subcontractors to ensure timely submissions and accuracy. Client Invoice Packaging: Compile and submit monthly invoice packages to the client with all required documentation. Project Staff Support: Provide operational assistance to project staff as needed. Office Inventory and Supplies: Conduct regular inventory checks and order office supplies to maintain efficiency. Subcontractor Payments: Ensure timely release of subcontractor payments upon receipt of client funds. Expense Monitoring: Review monthly Other Direct Costs (ODCs) to confirm accurate billing in monthly invoices. Cost Verification: Analyze and validate cost sheets to ensure billing rates are accurate. Contract Compliance: Partner with the administrative Project Manager to ensure adherence to contractual obligations. Invoice and Payment Tracking: Maintain detailed records of all invoices and payments to ensure accountability. Additional Responsibilities: Support non-administrative tasks as assigned, such as office relocations, furniture moves, event setup/cleanup, and equipment transfers. Employee Onboarding: Facilitate the onboarding process for new hires, ensuring workspaces are set up with computers, printers, keyboards, and other necessary equipment prior to their first day.

Required Qualifications:

5+ years general office experience including 2+ years in the engineering or construction industry. Experience using Microsoft Excel, Microsoft Word, Microsoft PowerPoint and SharePoint.

Preferred Qualifications:

Bachelor's Degree may be substituted for three (3) of the five (5) years of general office experience.

Actual salaries will vary and are based on several factors, such as experience, education, budget, internal equity, project and location.
