This candidate will be part of Medtronic’s corporate legal department and provide administrative support to the Enterprise Legal Regulatory (ELR) team, which includes 1 Vice President, 2 Senior Legal Directors, 1 Senior Legal Program Director, 1 Legal Director, 2 Senior Program Managers, and a mix of 12 additional lawyers and paralegals.   Individual must be able to work in a fast-paced environment with changing priorities.  The candidate must be experienced, organized, detail-oriented, process-driven and confident in his/her abilities.

In this exciting support role as a Project Coordinator V, you will be responsible for providing support for the ELR team, comprised of three Centers of Expertise in FDA/Life Sciences, Health Law, and Environmental Health and Safety.  You will report to the Vice President and Chief Regulatory Counsel that leads ELR.  The individual will provide budget support the team, help support diverse projects, provide administrative needs from calendaring to planning periodic virtual team meetings. The role will have a broad network across functions (Quality, Regulatory, Clinical, Medical Safety, Environmental Health and Safety), regions and businesses.  Responsibilities will flex based on business needs to enable strong organizational impact.

Location: This role will reside in Fridley, Minnesota and will work per the hybrid guidelines (3 days in office).


A Day in the Life

Responsibilities may include the following and other duties may be assigned.

The position will require strong skills related to: 1) word processing with speed and accuracy; 2) managing significant volume of legal documentation; 3) database entry; and 4) solid organizational and prioritization abilities.  The responsibilities and key accountabilities may include the following:

·       Provides general administrative support including calendar management, organization charts, setting up meetings and compiling information relevant to supervisor's assignment.

·       Facilitates Townhall meetings and event logistics.

·       Administers inter-department processes including assigning training and Purchase Orders.

·       Responsible for coordinating travel and submitting expenses

·       Provides organizational related support or service (administrative) for leaders within the organization in the delivery of support services or activities.

·       Provides project or program support to Enterprise Legal Regulatory

·       Has high degree of initiative and drives enhancements to working methods to improve effectiveness.

·       Maintains discretion with confidential information.

·       Process legal invoices, expense reports and AmEx expenses for payment

·       Data entry into a variety of platforms (CSC Navigator, internal Medtronic sites)

·       Manage team needs for equipment, file space and supplies

·       Leads activities that involves planning and preparation of communications and require skill, tact, and persuasion to accomplish the objectives.

·       Responsible for recommending enhancements in systems and processes to solve problems or improve effectiveness of job area by collaborating with other functions

·       Applies knowledge of and experience in company operations to assist team support of following program/system guidelines and procedures.

Must Have: Minimum Requirements
High School Diploma or GED with a minimum of 10 years of project and/or administrative support experience to include experience supporting a Legal function (in-house or Law Firm)
Nice to Have Bachelor's degree Previous Medtronic experience Previous experience supporting VP level leadership in a corporate setting Experience with Microsoft applications (Outlook, Word, Excel, PowerPoint) Previous experience with meeting coordination, travel arrangements, and complex calendar management Strong presentation development skills (i.e. PowerPoint) Strong communication and collaboration skills Continuous improvement, customer-focused mindset

The base salary range is applicable across the United States, excluding Puerto Rico and specific locations in California. The offered rate complies with federal and local regulations and may vary based on factors such as experience, certification/education, market conditions, and location. Compensation and benefits information pertains solely to candidates hired within the United States (local market compensation and benefits will apply for others).
