The Project Coordinator, New Construction provides technical and administrative support to the Project Manager, New Construction in the successful delivery of new construction projects for the Town of Oakville. The Project Coordinator, New Construction may also manage minor projects with limited scope under the supervision of the Project Manager. The Project Coordinator, New Construction will be responsible to:
For new construction projects:
Maintain detailed, comprehensive project files and documentation;Provide administrative support for contract administration;Provide administrative support for budget management;Maintain project risk register, project dashboard, field reports, etc.;Take meeting minutes for all project meetings;Schedule project meetings and support documentation;Other administrative duties as required;Assist in preparation of RFP and RFQ documents and tender packages;Research means and methods for building systems as required;Assist with project reporting, and stakeholder and public communications;Assist in risk management and development of solutions and mitigating strategies;Review invoices for accuracy and completeness;Assist in budget, scope and schedule management;Assist in progress reports;Update JD Edwards and asset registry as required;Provide general support for project management services.Review drawings and specifications for completeness;Monitor site progress daily (or as required) for compliance with contract documents as well as QA/QC;Attend weekly/biweekly/monthly site meetings;Assist with deficiency management;And assist with warranty management.For minor / limited scope projects:
Ensure scope meets all client programming needs as well as legislative requirements and Town standards;Select consultant and/or contractor through RFP / RFQ;Administers consultant and contractor contracts;Review drawings and specifications,Negotiate with consultant and contractor to manage changes involving time, scope and budget;Responsible for financial and schedule control of projects;Responsible for quality control of projects;Update JD Edwards and asset registry as required;And, communications to stakeholders;Other duties as assigned.Qualifications:Community college diploma or university degree in architectural technology, architecture or building sciences combined with a minimum of 3 years’ experience with the project management of construction projects is required. A combination of education and experience may be considered;Detailed understanding of building systems and construction practices;Understanding of contract law as it applies to construction projects and understanding of construction administration;Understanding of OH&S Act and requirements and roles of a Supervisor under the OH&S Act and understanding of types of hazardous materials, actions required under law and types of remediation;Understanding of all applicable law and legislation including OBC and AODA;Experience with cost estimating for construction projects;Strong competency with Microsoft Office suite of programs ;Strong competency with AutoCAD and other graphics based programs;Practical knowledge with a Project Planning/Management Software, like Microsoft Project;Ability to read blueprints and legal surveys;Strong problem solving skills and able to manage time effectively and set priorities based on changing and evolving parameters;Exceptional communication and interpersonal skills with an emphasis on customer service;Good oral and written communication skills to assist in presentations, report writing and take meeting minutes;Project management courses and PMP certification would be considered an asset;Understanding of green construction and LEED certification would be an asset.Travel to a variety of sites is required.
