At AECOM, we are currently recruiting for a Project Coordinator to join us at our Dublin office.

Here’s what you’ll do: 

Your day-to-day will include but not be limited to the following tasks and responsibilities;

Your day-to-day will include but not be limited to the following tasks and responsibilities:

Provide support to the Operations team by preparing required monthly reports, reviewing weekly utilisation reports, reviewing monthly indirect costs and providing general support in managing internal management requirements & document management.Assist with Client set up and checking billing entity, document management of key business records as appropriate and project set up in WORKBENCH, including support with creation of work breakdown structures.Work with Project Accountants to ensure project set up is actioned correctly and timely, to help identify costs incorrectly booked to project which require transfer and to initiate changes to project status including consideration of final invoices, unbilled etc.Monitoring the schedule and ensure end dates are updated, the creation of project deliverables list and method to monitor & control, and with monitoring and administration of change control requests.Assist Project Managers in identifying where spend is incurred outside of contract and support in gathering appropriate approvals in line with delegation of authority.Liaise with Operational Finance to support regular project reporting.Assist in updating billing rates within WORKBENCH as appropriate and liaise with Project Billers to ensure accurate and timely invoicing.Review aged debtors report with Project Manager & capture and track actions required.Ensure contract documentation is in place for each project & prompt Project Managers, monitor adherence to processes regarding interface with legal department/commercial director and assist in the completion of intercompany (ICAs) and sub consultants agreements.Provide regular reviews with Project Managers to go through any project issues e.g. remaining contract value against work outstanding, gross margin issues, adjustments including monthly update of estimates at completion (EAC).Diarise Tier 1 reviews at earliest opportunity and prompt PM for completion of required forms.Diarise Quarterly reviews as and when needed, including attending meetings and actioning identified changes.Assist in responding to questions arising from Finance.Attend monthly PMA calls and actively participatePrepare timely and compliant Delegation of Authority (DoA) submission and associated Work at Risk (WaR)Attend monthly performance review calls with Performance Managers / other PMAs.Attend debt and unbilled calls having required knowledge of projects to assist with updates for others on the call.Monitor unbilled values and follow up with PMs / assist with issuing invoices.Follow up any negative Estimate To Completes with PMs.Required software:Workbench

Uses Workbench, ABC invoicing, OTA (Oracle Time Adjustment) Word, Excel, PowerPoint, Outlook, and other programs to accomplish work.
