Job Description Summary

As a member of the Marketing Creative Services Hub, the Project Coordinator is
responsible for providing expert project coordination to support workflow through the
larger design team. Responsibilities include partnering with the Marketing Operations
Manager—as well as the Graphic and Production Design team—to manage marketing
files, project assets, creative briefs/design direction documents, project milestones and
schedule, change rounds, quality checks/review, and communications between the
Manila project team and the Americas-based Project Point of Contact for each
respective project. The Project Coordinator uses project management tools to update
project status and communicate with Americas-based Points of Contact for projects.
The Project Coordinator is not expected to be a desktop publisher but is expected to be
able to make simple changes and updates in files on occasion to make workflow
process more efficient, working in Adobe InDesign or Microsoft O360 applications. The
Project Coordinator is accountable for responsive communication, both with local
teammates and across multiple time zones with Americas based teams, supporting the
delivery of high quality projects and deliverables.

Job Description

KEY RESPONSIBILITIES:

Under the Marketing Operations Manager’s leadership, the role requires superior organization and anticipation of needs to ensure timely and effective project delivery. Responsibilities include the following:

• Work in close partnership with respective Marketing Operations Manager, supporting project intake, project coordination, traffic management, escalating issues, as necessary, and keeping the Marketing Operations Manager up to date
• Partner with the Marketing Operations Manager to employ best practices for marketing project workflow
• Manage the use and support of the adoption of project management software to ensure clean data collection and measurable analytics to evaluate traffic, and for
real-time project status viewable to the broader project team. Assess effectiveness and identify opportunities for improvement.
• Effectively track multiple projects simultaneously, working with several graphic designers and production designers, to ensure project milestones are on track.
• Flag and help resolve any projects that are falling behind, headed in the wrong direction, or are at risk of not meeting Service Level Agreements for accuracy, turnaround time, and other SLAs
• Partner with Graphic Designers and Production Designers to ensure they have the assets and materials required to complete projects. Assist in sourcing missing assets or information required to complete each project.
• Help keep projects and project folders organized according to best practices and team rules. Ensure project folder and file naming follow team practices.
• Be responsive to project partners in the Americas, communicating effectively across multiple time zones
• On occasion as required, to keep projects on track, make simple edits to projects such as text updates, photo replacements, etc.
• Match change requests to revised materials to ensure all changes are incorporated and interpreted correctly
• Ensure the delivery of a clean final product to the respective Project Point of Contact in the Americas, after providing a quality control review
• Develop strong ties to colleagues in similar roles for effective sharing of best practices and ideas

REQUIREMENTS:

• Bachelor's degree
• 2-3+ years of marketing project management, and traffic management experience
• Familiarity with the Adobe Creative Suite, particularly InDesign, and proficiency in Microsoft O360 applications
• Familiarity with project management tools is highly preferred
• Commercial real estate experience a plus
• A hands-on approach to problem-solving
• Excellent written and oral communication skills
• Ability to work with different personalities and experience levels
• Ability to successfully partner with team and project partners
• Self-motivated but works well in a group environment
