Position: Project Coordinator
Location: National Office, Tiranë, Albania

JOB PURPOSE
The purpose of this position is to contribute to the planning and implementation of an EU-funded projects. The Project Coordinator will develop, establish, and maintain project management standards and procedures. He/she is responsible for developing the project timeline and implementation plan as well as coordinating the resources necessary to successfully complete all project components. This includes providing project support, specifically in the coordination, monitoring, reporting, and documentation of project activities, as well as working with project beneficiaries, key project stakeholders, and the Project Manager. He/she is also tasked with acquiring resources by identifying funding sources, coordinating the proposal development process and maintaining regular communication with stakeholders.

MAJOR RESPONSIBILITIES

Project Planning and Implementation

Responsible for the quality and timely implementation of project activities.Design and coordinate the calendar of activities with project partners, local key stakeholders, and the Project Manager.Review project implementation progress monthly, identify delays, and implement measures to keep the project on track.Offer technical guidance to project staff, beneficiaries, and partners, particularly related to the subject matter.Facilitate stakeholder mobilization in line with project objectives and conduct need assessments to identify eligible project participants.Ensure proper budgeting, forecasting, and expenditure tracking in line with donor requirements and procedures.Participate proactively in relevant events organized within the project framework and in meetings organized by other stakeholders.

Resource Acquisition:

Conduct comprehensive research to identify potential funding sources, including government agencies, foundations, and multilateral organizations. Maintain a database of these opportunities with key details and deadlines.Collaborate with program staff to gather necessary information and data. Write and edit grant proposals, ensuring they are clear, coherent, and aligned with funder requirements and organizational goals.Work with finance and program teams to develop detailed and realistic budgets for grant proposals. Ensure all costs are accurately estimated and justified.Coordinate the preparation and collection of all required documents for grant submissions. Ensure all documents are completed accurately and submitted on time using the appropriate methods.Maintain regular communication with funders, partners, and internal stakeholders. Provide updates on grant progress and address any issues that arise.Offer support to program staff on grant-related matters, including compliance, reporting, and best practices in grant management.

Project Reporting:

Compile and prepare detailed project reports, including progress, financial, and impact reports, in accordance with donor requirements and organizational standards.Provide technical guidance to project staff and partners on reporting requirements and best practices. Ensure all reports are clear, accurate, and comprehensive.Ensure all project-related documentation, including reports, meeting minutes, and correspondence, is properly maintained and accessible.

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

Required Professional Experience

Minimum two years of programme/project management experience with special focus in EU funded projects.Previous experience in the sector of grants and donor engagement.Experience in managing grants, including donor technical and budget agreements from EU.At least two years’ experience in grant acquisition, project implementation, and project design, monitoring, and evaluation within an International NGO environment.

Required Education, Training, License, Registration, and Certification

Master’s degree in a development-related subject, business administration, law, social sciences, and/or any related areas.Computer literacy; strong computer skills including Word, Excel, PowerPoint.Effective in written and oral communication; able to speak and write with a high standard of English.

Preferred Knowledge and Qualifications

Experience participating in programme assessment, design, implementation, monitoring, and evaluation processes.Experience with faith, community-based, and child-focused empowerment programmes.Good research, analytical, writing, negotiation, and marketing skills.Strong team capacity building, coaching, and supervision skills.Creative and able to apply innovative thinking, partnership building, and problem-solving skills.Good interpersonal skills and cross-cultural sensitivity, abilities to work as a team.Able to work on multifunctional tasks under time pressure and changing organizational procedures.
