The Project Coordinator will be responsible for overseeing the entire project lifecycle, with a focus on procurement & installation coordination.
The incumbent will act as the central point of contact for both the procurement of materials/equipment and the successful installation of those items, ensuring that projects run smoothly, on time and within budget.
The role requires effective communication, organization and attention to detail to manage various tasks from sourcing products to coordinating teams on-site.
Key Responsibilities:
Installation Coordination: Collaborate with installation teams to schedule & oversee project installation, ensuring timely & efficient execution. Act as the liaison between internal teams & external contractors, providing instructions, clarifications and updates as needed. Monitor installation progress, ensuring quality standards & safety guidelines are met. Address & resolve any installation-related issues or delays, working closely with the project team to find solutions. Coordinate logistics for on-site activities, including scheduling, site access & equipment/materials delivery.Project Scheduling & Tracking: Create and maintain project schedules, ensuring alignment between procurement timelines and installation deadlines. Monitor project progress and provide regular updates to stakeholders, highlighting any potential delays or challenges. Assist in project planning, helping to set realistic timelines for procurement, delivery, and installation phases. Track and report procurement and installation costs, ensuring the project stays within budget.
Cross-Functional Collaboration: Work closely with project managers, operations teams, sales team, and contractors to ensure smooth communication and task execution. Provide administrative support to the project team, such as maintaining documentation and filing contracts, invoices, and receipts. Coordinate with other departments to ensure that all project requirements are met, including regulatory compliance and quality assurance.
Problem-Solving and Issue Resolution: Identify and address any challenges related to procurement delays, installation setbacks, or site issues. Take proactive measures to resolve problems quickly and efficiently, ensuring minimal disruption to the project timeline.
Procurement: Source, order and track materials, equipment and supplies necessary for project execution. Develop & manage relationships with suppliers and vendors to ensure timely delivery & cost-effective procurement. Monitor inventory levels & manage reorder processes to ensure materials are available when needed. Negotiate pricing, terms and delivery schedules with vendors to maximize cost efficiency. Ensure compliance with project specification & procurement standards.
Documentation and Reporting: Maintain accurate records of procurement activities, installation progress, and related documentation. Prepare status reports for stakeholders, including updates on procurement, installation, and any adjustments to timelines or costs.
Requirements:
5+ years of experience in a project coordination role. A bachelor’s degree in engineering (Mechanical or Electrical) from an accredited institute. Proficiency in Microsoft Office Suite. Strong organizational skills and ability to manage multiple tasks concurrently. Excellent communication skills, both written and verbal. Knowledge of procurement processes and vendor management. Understanding P&L and experience in coordinating installations is a plus.
