Job Description
Project Coordinators wll report to the Project Manager Lead and will work closely with our Project Managers, Systems Integrators and Systems Engineers within our professional services organization to deliver business value to our end users, channel partners, and OTTO Motors. As a Project Coordinator, you will be responsible for supporting Project Managers in the coordination of activities within the organization as well as with customers. Your job is to support the project and its internal team through the life of each project with regard to the budget, schedule, vendor management, customer satisfaction and closeout procedures, from purchase order acceptance to customer acceptance. In addition, Project Coordinators collaborate with others within our professional services organization to establish guidelines, standards, and best practices for how OTTO Motors products can be used by the market, specifically by our integrator network.
Your Responsibilities:Project Logistics: Support Project Managers in shipment of AMRs, accessories, tools and services to customers; coordinate with relevant internal departments and customer team members to ensure seamless transition of goods and servicesProject Reporting: Support Project Managers in providing periodic updates including project status reports, financial reports (EACs, budget reconciliation), and regular KPIsResource Management: Support Project Managers and Department managers in coordinating resource allocation across projects and managing the team's primary travel schedule; support coordinating with contractors to ensure their availability and travel schedule is successfully integrated into project resource plansVendor Management: Support execution of contracts, Statement of Work (SOW), purchase requisition, and purchase orders with 3rd party vendors/contractorsTest Space Coordination: Ownership of test space allocation between project teams and external teams when project teams are not using the test spaceTraining Delivery: Coordination of schedule and resourcing to support training delivery to customers at OTTO Motors AP1 location or at customer locationsDocumentation: Update and maintain project wiki pages, asset trackers, JIRA tickets as neededContinuous improvement: Identify opportunities for process improvement and implement best practices and lessons learnedThe Essentials - You Will Have:Bachelor's Degree in Relevant FieldLegal authorization to work in Canada is required. We will not sponsor individuals for employment visas, now or in the future, for this job opening.Ability to travel for business; 20 - 25 % travel commitment over the year (travel mostly contained to Canada and USA).
