Project Coordinator

Your Role  

Use your passion for service and attention to detail to help the Gensler team bring designs to life.  As a  Project Coordinator,  you will be responsible for supporting the development of design/construction documents, managing communication between designers, engineers, clients, and contractors to help ensure projects are delivered efficiently. Supports the project team in all phases of design and construction.  You're at the heart of your studio’s projects and the soul that keeps your projects moving forward.   

 

What You Will Do
 

Support architectural projects from Start-Up through Close-Out by consistently providing a high level of customer service to Gensler staff, clients, vendors, business partners and guests while at times, being the client interface.  

Planning: Prioritizing work and ensuring deadlines are met.  

Communication: Managing daily communications with internal and external parties.  

Risk Management: Assess risks and potential issues and notify project leaders. 

Project Tasks: Proposal letters, opening project and sub-project numbers, consultant letters of agreements and work authorizations, team org charts, package preparations & shipping/mailing, QA/QC documents, drawing stamping and coordination, print coordination, copying/scanning, and cloud-based file sharing.  

Monitoring: Maintenance of various spreadsheets (contracts, work authorizations, consultant work authorizations, sketch logs, punch lists, RFIs, Submittals, etc).  

Documentation: Creation and maintenance of project directories and logs, accurate project filing, FAST form documents, preparation of meeting agendas and meeting notes, programming data worksheets. 

Resource Management: Meeting coordination and virtual meeting set-ups. 

Administrative Tasks: Special duties and projects, as assigned or necessary including studio support, coverage of other coordinators and front desk reception.  

 

Your Qualifications

4+ years of experience in an administrative capacity preferably within the architecture, construction and engineering industry.   

Bachelor's Degree preferred or equivalent experience.  

Ability to effectively prioritize with strong time management skills in a fast-paced environment.  

Superior verbal and written communication skills.  

Highly organized with a strong attention to detail.  

High level of professionalism and strong sense of urgency.  

Ability to work with minimal guidance; Proactive, motivated self-starter.   

Flexibility and ability to handle and manage change effectively and efficiently.  

Intermediate to advanced skills in MS Office Suite (Outlook, Excel, Word, PowerPoint).

*The base salary range will be estimated between $70,000 - $85,000 plus bonuses and benefits and contingent on relevant experience.
