Project Coordinator - Construction
Overview Responsible for timely and accurate setup and closeout of new store construction projects. Includes coordination of key documents, contracts, and processing of pay applications. In collaboration with Construction Project Manager partners, serve as a key liaison with external partners and agencies to process and coordinate key documentation needed to facilitate on-time delivery of the new store projects Overview of Responsibilities Ensure Construction Project Managers success through timely and accurate project coordination throughout the lifecycle of new store projects Primary contact and resource for project document administration for all assigned new store projects: Bid Coordination, Evaluation and Award: Facilitate the Bid Solicitation, Evaluation and Award process according to Sprouts Policy. This includes issuing RFP’s as directed by the assigned Construction PM, managing/receiving the SOV’s in accordance to the terms of the RFP, compiling the SOV’s into a bid comparison form for manager and CPM review and formalizing the Award through contract execution and other procedural Change Order Management: Support real-time financial forecasting by partnering with assigned Project Managers to log financial risks. When risks become obligations, the Construction Coordinator will facilitate and formalize Change Orders through Executive Management. It is the responsibility of the Construction Coordinator to drive Change Order Management according to the terms and procedures outlined in the construction and refrigeration contracts and adhering to Sprouts policies. Pay Application Management: Ensure timely processing of pay applications including required documentation such as conditional/unconditional waivers of lien. Facilitate multi-level approval for accuracy and completeness to maintain the proper controls for progress payments Financial Closeout: In collaboration with the Equipment Coordinator ensure all project Purchase Orders (PO’s) are closed and/or canceled prior to reporting to Accounts Payable (AP) the Cost Center is ready to be closed Contingency Closeout: In coordination with the Construction Project Manager, formalize the agreement between Sprouts & Landlord addressing open financial obligations, either to Sprouts or to the Landlord.Letters of intent to Award: Process necessary VP approvals for AIA construction and refrigeration contracts, to include facilitation of legal reviews Track and manage 3rd party commissioning/turnover items with intent for all items to be closed by/before turnover, including utility transfer, fire/burglar alarm and refrigeration alarm monitoring contracts/coordination Manage the Closeout Process in accordance to Sprouts Policy and the Closeout Checklist, Manage Project Accounting and Reporting Assist with new vendor setup as necessary New Store addresses: Source, verify and record final addresses for all new store locations, communicate to internal business partners Train internal and external construction partners and vendors in the use of Sprouts software and tools used for collaboration, reporting, billing, etc. such as Workday and Smartsheet Maintain Construction Analytics Report for Construction and Refrigeration #LI-LR1 Qualifications Three (3) years’ experience in the administration/coordination of contracts with preferred experience in the construction/real estate industry. Ability to read and understand Real Estate Leases and Construction Contracts Strong relationship management skills Effective communication skills, both written and verbal Exceptional organizational skills and attention to detail with analytical methods Ability to multi-task in a high paced – deadline driven environment Basic understanding of Project Accounting principles High attention to detail/accuracy/problem solving Experience with Microsoft Office Suite, including Outlook and Teams Experience or high adoption skills with Smartsheet, Workday, Docusign, Adobe High School Diploma or equal Benefits In addition to a rewarding career, Sprouts offers a comprehensive program to help support you and your family.
