We’re seeking a Project Coordinator to join our innovative Bloomberg Live Experiences team.
We'll trust you to:
Assist the Executive Producer and Project Director in managing all aspects of the event’s lifecycle, from pre-event planning to post-event wrap-up.Provide logistical and event production support, with specific focus on providing local insightProvide local support & manage day to day communication to venues & vendors & stakeholders/authorities as requiredConduct venue & vendor research, inspections & site visits and provide recommendations as requestedHelp organize, prepare documentation for, and attend site visits / vendor meetings as requiredAssist with protocol/government relations support as directed by the protocol teamEnsure information is shared within the team globally and documented on timely and regular basisCollate meeting notes / action points / circulate to rest of QEF departments as requiredStructure thoughtful and efficient agendas for team meetings & visitsAssist with collating "Fast Fact" Report due Day 3 of the ForumAssist with collating Post Event Report due 3-4 weeks post ForumEnsure tasks and milestones are completed on time, assisting in the creation and monitoring of project timelines and schedules.Problem-Solving & On-the-Day Support: Be on-hand during the event for any last-minute adjustments, troubleshooting, and general event management. Support the team in ensuring everything runs smoothly.Bilingual Communication: Draft and translate event-related documents, emails, and correspondence in both Arabic and English, ensuring consistency and clarityLiaise on tent card printing needs between Authorities + BBG + production agencyAssist on seating plan coordination between Authorities + BBG Manage scheduling & logistics for when BBG travels to QatarAssist with ensuing VIP guest experience is seamless across all functionsAssist with VIP welcome packs in rooms. Available to receive and manage deliveries at BBG office and track inventory of event related collateral

You'll need to have:
Experience: Minimum of 3 years of experience in event coordination or a similar role, with a proven track record of managing logistics and administrative tasks for high-profile events.Language Proficiency: Native or fluent in both Arabic and English, with excellent written and verbal communication skills in both languages. Ability to translate materials when needed.Organizational Skills: Strong ability to manage multiple tasks simultaneously, with a keen eye for detail and excellent time management skills.Tech-Savvy: Proficiency in using Google Workspace (Google Sheets, Google Docs, Google Slides) and other digital tools for document management, communication, and reporting.Autonomous & Team-Oriented: Ability to work independently while also being an active and collaborative team player. Proactive in identifying and addressing potential issues before they arise.Work Ethic: Highly dedicated, hardworking, and adaptable to changing priorities in a fast-paced environment.Flexible: When necessary  the candidate should be flexible working across timezones.Problem-Solving: Strong analytical and problem-solving skills, with the ability to adapt quickly to new situations and challenges.Cultural Sensitivity: Understanding of and sensitivity to working within diverse, multicultural environments.
