Project Coordinator / Project Assistant

Role description:

The Subsurface Utility Engineering (SUE) Practice Group of Arcadis Professional Services (Canada) Inc. is currently seeking a project coordinator to assist the SUE project team with operational activities with respect to project coordination, operation and delivery.  

*This is a 9 month maternity leave replacement opportunity*

Role accountabilities:

Internal Project Preparation and Coordination Project folder structures set up in SharePoint, create purchase orders, subcontractor insurance verification, complete project forms: Securing Permits for field activities  Apply for all permits; Provide certificate of Insurance as needed Create traffic control plans (using Rapid Plan by Invarion software); Coordinate with city/municipalities, Schedule and coordinate Paid-Duty Police, as necessary Coordinate subcontractors (e.g. traffic control, hydrovac etc.), Coordinate RoDARS (for City of Toronto); Coordinate and execute utility information records research Coordinate with ON1Call and various utility owners, collate information received and create/update excel tracking sheet Checking received utility drawings to ensure that each suite of utility drawings from each individual utility owner cover the entire project area Collate data from utility mapping & test pit field operations Set up project Pronto Forms, organize MH inspections forms, review received locates and maintain spreadsheet accuracy, create and format sighting reports Reporting – compiling all project field data documents for Utility record, Invert data and Test Pit information Format and finalize Utility Record Information Tracking Sheet, Invert Tables and Test Pit Summaries (Excel) Ensure all individual records and forms are in correct folder and order  Prepare documents for export General Administration duties
 

Qualifications & Experience:

Proficient in Office365 – Word, Excel, SharePoint, Outlook etc., Teams, Adobe Acrobat Some knowledge of ON1Call, RapidPlan by Invarion, Pronto Forms and Oracle an asset Knowledge of OTM Book 7 – traffic control plans an asset Organization and time management skills Able to multitask – ability to work on multiple tasks for multiple projects and keep it all organized and coordinated Timely – stay on time and on task for multiple projects Good communication – phone and email with clients, city employees, field team, utilities etc. Able to take initiative and work independently Ability to research/investigate to find information as needed Attention to detail Analytical skills Team player - Ability to work with a team and coordinate between members

The salary range for this position is $23.00 - $26.00 per hour. The base salary represents Arcadis’ hiring range for this position. Actual salaries will vary and will be based on various factors, such as location, skills, experience, and qualification for the role.
