Your Role
Gensler's Morristown office is seeking a Project Coordinator to join and provide vital project administrative support working in our Lifestyle Retail Studio. As a Project Coordinator, you're at the heart of a project’s activities and play a critical role in supporting the Design Manager throughout the life of the project from the initial proposal through the various phases of the project.
What You Will Do
Support a project team from an administrative standpoint. Including business correspondences, proposals, contracts, meeting notes, project filing, project scheduling and new project setup.Assist with day-to-day operations including meeting/event coordination, email screening, filing and coordination with consultants and other teams.Perform billable aspects of a project that may require client interface, accompany team to project meetings, transcribe meeting notes etc.Type general correspondence (e.g., letters, meeting notes, agendas, contracts, proposals, programming spreadsheets)Provide project assistance in the form of supplementary project research, updating project profiles, and other miscellaneous tasks to improve the project quality and delivery processUtilize project management tools to increase efficiency for both Design Manager and the studio; this includes entering staffing and revenue plans, creating project schedules, and using data management software to identify areas of improvement.Be a go-to resource in your studio on how to understand, meet, and exceed firmwide metrics goals (staffing and revenue plan completion, contract signage, resilience, and sustainability metrics).Create client presentations and charts for client and internal meetings.Create a process flow for Design Manager’s project work and ensure teams adherence to the established process.Your Qualifications
3+ years of project coordination and/or administrative professional experience, preferably in an AEC workplace but not requiredBachelor’s degree in Architecture or related fieldsSelf-motivated and naturally curious about the architecture and design processMust show ability to problem-solve, both individually and as part of a project team, and able to work on multiple assignmentsWell organized and be able to work in a fast-paced environmentMust have experience with appropriate computer software programs, i.e., Microsoft Word, Excel, Powerpoint, Photoshop and InDesign creating presentations and organizational chartsExcellent verbal and written business communication skillsExperience with Microsoft Project, Smartsheets, and Google Docs a plusLegal and contract review experience is a plus, but not required***Please submit your resume as a PDF
