POSITION SUMMARY

 

Perform a variety of routine and non-routine clerical and administrative tasks in support of an assigned individual, a group of individuals, or a location. Project a professional image and maintain the necessary resources to facilitate a cohesive and productive work environment.

  

What you’ll do:

 

 

1.     Provide office/job support to Project Management team.

2.     Create and modify documents using MS Word and Excel. Create presentations using PowerPoint.

3.     Issue purchase orders, track and manage material/equipment purchases.

4.     Manage job OCIP/CCIP, MWBE requirements, bonds, and document control.

5.     Perform general clerical duties, including copying, faxing, sorting, binding, supplies inventory, and miscellaneous errands.

6.     Set-up and maintain filing systems (electronic and hard copy).

7.     Set up and coordinate meetings (conference room and teleconferencing).

8.     Take meeting minutes and transcribe dictation tapes.

9.     Act as a liaison from office to field and other company departments (if applicable).

10.  Perform research via internet.

11.  Maintain manager calendar(s). 

12.  Pull building permits and request inspections.

13.  Manage subcontractor agreements and process subsequent work agreements.

14.  Process monthly progress billings using company software and AIA Documents.

15.  Process and post job change orders as required.

16.  Code invoices for payment.

17.  Assist with tracking various projects from beginning to end and help project management monitor their success.

18.  Perform additional assignments as requested.

 

What you’ll need to be successful:

 

·        High school degree or equivalent with 1-2 years of business school/clerical training preferred

·        3-5 years of proven support/experience in the construction industry

·        Knowledge of office routines and business protocol

·        Experience in billing, construction terms, paperwork and processes.

·        Strong computer skills and ability to work effectively in MS Office

·        Strong written and verbal communication, interpersonal, and organizational skills

·        Ability to type 50-60 WPM accurately

·        Familiarity with office equipment (copier, fax, scanner, printer, multi-line phone system, calculator/adding machine)

·        Ability to multi-task and prioritize

·        Knowledge and accuracy in arithmetic

·        Has working knowledge of reporting and billing needs in the construction industry

·        Has working knowledge of documentation, systems, and management procedures in the construction industry
