Project Manager/Executive Assistant
Description Executive Assistant/Project Manager Summary A blended Executive Assistant and Project Manager role combines administrative support with strategic project management support. In this hybrid position, the individual is responsible for managing executive schedules, tracking departmental budgets, while simultaneously serving as project manager for key strategic initiatives, as well as tracking a longitudinal departmental strategic plan. This includes developing and tracking project plans with key leaders, ensuring timely delivery, and intervening when an initiative is off track. The role requires exceptional organizational skills, the ability to multitask, and a keen eye for detail. Effective communication and a proactive approach are essential, as the individual must liaise with leaders, stakeholders, lead project teams, and provide strategic support to executives. This position is ideal for a professional who thrives in a dynamic environment, balancing day-to-day administrative tasks with long-term project management oversight. Pay: $33.82 - $50.73 / hour. Pay is dependent on applicant's relevant experience Responsibilities: + Develops project scope, deliverables, and plan in alignment with project objectives. + Manages project implementation to achieve project goals while controlling resources, risks, conflicts, timelines and costs. + Identifies, secures, and coordinates the resources necessary for project success. + Manages project team members. Serves as a mentor and facilitates conflict resolution. + Within scope of job, requires critical thinking skills, decisive judgement and the ability to work with minimal supervision. Must be able to work in a fast-paced environment and take appropriate action. + Providing support to the VP Pharmacy- managing calendar, setting meetings, and tracking executive-level deliverables + Project managing the system pharmacy multi-year strategic plan, including tracking performance on milestones, setting priorities, and tracking performance for all strategic pillars. + Preparing executive presentations and reports that highlight system pharmacy performance, Powerpoint skills critical + Data analysis of high level strategic data trends, and ability to prepare reports that illustrate trends and actions to "bend the trend". Excel skills critical. + Review and finalize annual budget submissions for capital, drug costs, and personnel. Work with VP and pharmacy finance director on annual budget packet, as well as monthly operating report meetings to track budget/revenue. + Support monthly senior pharmacy leadership meetings and quarterly "all hands" mangers meetings; create agendas, track actions, plan meetings and manage communications Requirements: + Minimum Required Education: Bachelor's degree. + Minimum Experience: 3 years of relevant experience.
