Position Summary:
The AVP for Academic Operations and Scheduling will be responsible for managing and coordinating the centralized classroom, laboratories, course and academic space scheduling for Arkansas State University using the CourseDog and Banner ERP platforms. This role will be housed within the Office of the Provost and will work collaboratively with academic departments, the Office of the Registrar, Facilities Management, and other administrative units. The AVP will ensure optimal scheduling processes, maintain system data integrity, and provide training and support to academic units.
Duties & Responsibilities:
+ Oversee all operational aspects of centralized course scheduling for the university, using the CourseDog platform
+ Serve as the primary liaison between academic departments and the Academic Affairs office for all academic scheduling-related matters
+ Collaborate with academic leadership to develop and implement efficient scheduling processes and strategies that support student success, optimize room usage, and align with institutional goals
+ Collaborate with the DegreeWorks team to analyze student degree progression data and degree audit results, providing academic departments with data-driven insights to optimize course scheduling each academic year, ensuring alignment with student demand and timely degree completion
+ Provide training and support for faculty, department schedulers, and administrative staff in using the CourseDog platform to manage scheduling
+ Manage the implementation, troubleshooting, and ongoing updates for the CourseDog platform, ensuring its effective use across departments
+ Identify problems with classrooms, laboratories and academic spaces and schedule and coordinate maintenance where appropriate.
+ Ensure data accuracy and integrity within the CourseDog platform and related systems, including Banner and other academic information systems. Liaise with facilities management and ITS to ensure classroom fire code standards, and in-class infrastructure/technology is accurately represented in Banner and CourseDog
+ Regularly audit scheduling practices, identify inefficiencies, and work proactively to implement improvements that enhance scheduling flexibility and availability for students
+ Develop, generate, and analyze reports to assess room usage, course offerings, and scheduling trends to support data-driven decision-making within Academic Affairs
+ Lead communication and training initiatives for academic units, ensuring compliance with institutional policies, best practices, and guidelines for course scheduling
+ Serve as a key point of contact for resolving scheduling conflicts, facilitating solutions, and ensuring alignment with academic calendars, policies, and deadlines. ยท Regularly update and maintain documentation and training materials related to scheduling procedures for department schedulers
+ Work closely with the Office of the Provost to align scheduling practices with strategic academic initiatives, such as curriculum redesigns and new program development
+ Monitor and ensure compliance with state, federal, and institutional regulations and guidelines regarding classroom scheduling and course assignments
+ Oversee and manage the social media channels for the Office of the Provost, including content creation, strategy development, and engagement with relevant audiences
+ Perform other related duties as assigned
Knowledge/Skills/Abilities:
Comprehensive knowledge of course scheduling systems (e.g., CourseDog, CourseLeaf, Ad Astra etc.) and student information systems (e.g., Banner).
Proficiency in data analysis and the ability to interpret data from multiple systems (e.g., DegreeWorks) to make informed scheduling decisions.
Strong communication and interpersonal skills for effectively liaising with academic departments, the DegreeWorks team, and other administrative units.
Project management skills with the ability to manage complex scheduling processes, system implementations, and workflow improvements.
Problem-solving abilities to address scheduling conflicts, optimize classroom usage, and support academic departments in strategic course planning.
Attention to detail and commitment to ensuring data accuracy and integrity in scheduling systems and reports.
Ability to lead training sessions and provide technical support for faculty and staff on scheduling tools and platforms.
Understanding of academic policies and institutional operations to align scheduling with university priorities and strategic goals.
Adaptability and flexibility to work in a dynamic academic environment and respond to the evolving needs of the institution and its students.

This individual has a close working relationship with the Registrar, Facilities Management, Financial Aid & Scholarships, International Programs, A-State Online, and Academic Affairs business owners, the functional users, ITS, and other university support constituents.
Preferred Qualifications:
Course scheduling platforms (e.g. CourseDog, Ad Astra, CourseLeaf etc.) and Ellucian Banner knowledge preferable.
Minimum Qualifications:
The formal education equivalent of an earned Bachelor's Degree.
