**What is the job about?**
The Project Support Assistant is an advanced admin function to capture all project resources on project systems (SAP CRM/SAP PS/SD) and ensure coordination between proposals manager, project manager, customer, 3rd party suppliers, contractors and document handling.
Specifically, you will work to:
+ Accountable for all the logistic in project:
+ Quoting and fulfilment for transportation, packaging, customs fee, transit costs, etc.
+ Ensuring packaging and marking requirements are quoted correctly and fulfilled (either in Grundfos factories or subcontracted)
+ Customer inspections at warehouse
+ Customer logistic point of contact
+ Customs management: check and advice special export documentation with the factory like Bill of lading, export invoices etc when needed to be done in customs.
+ Cost calculation and number of containers LCL and FCL (Transit company cost) to be able to quote and to book the needed
+ Managing and controlling project status in regards to this tasks.
+ Ensuring that all project bill of materials is purchased and arrived on time
+ Credit letter issuance and control for Export projects and credit letter documentation
+ Timesheets control for all project team and recording.
+ Accountable for the customer documentation management and fulfilment in project order (control of revisions, documentation platform maintenance, etc)
+ Documentation control (platform management, control of revisions, due date for documentation issuance, etc)
+ Issuance Logistic and packing lists documentation per project needs
+ Formatting project documentation per customer templates
+ Chamber of commerce origin certificates
+ SAP (PS and SD) order handling inside PS module, for sales order, purchase orders, PS module., and SAP CRM update data, inbounds and outbounds
+ Delivery time improvements requests
+ Invoicing per billing milestones achievement and per project invoicing instructions requirements: documentation, format of the invoice, invoicing platforms
+ Embargo control for projects fulfilling exports policy (non us components, non standard banks accounts, supporting payment milestones)
+ Contract signature management and document storage for 5 years
+ Other ad-hoc tasks or project as and when required
**Your Background**
+ Bachelor’s in Engineering/Master’s degree in Business with at least 5+ years of experience from a large international company working in admin/coordinator role.
+ Exceptional interpersonal skills with the ability to effectively collaborate with cross-functional teams, ensuring alignment with the project vision and goals
+ Strong verbal and written communication skills in English and other languages a plus
