Propane Service Coordinator

As the central line of contact within the Propane department, this position will assist customers with account, billing, service, repair and general inquiries and questions. This position will be the expert voice of the Propane Service division and is driven to handle all customers in a professional and helpful matter. This role will assist customers via email, phone, and in person and will use all system to update and document account information and activity. The Propane Service Coordinator will communicate, schedule and work with technicians and other department employees to follow through and ensure work orders are handled efficiently and accurately.

 

Responsibilities include but not limited to:

Provide high levels of customer account management by properly setting up and maintaining account information and data.Excellent communication/phone skills maintaining professionalism in all customer correspondence.Answer initial and follow-up phone calls from customers who place orders or request service and technical support issues – take responsibility for the inquiry and ensure follow though on account is completed.Respond to customer inquiries regarding orders, service work, and delivery invoices in a courteous and helpful manner. Maintain organized files and workspace. Detail oriented.Provide timely and thorough resolution of all issues raised by customers, as well as documenting all actions and correspondence.Ability to effectively deal with the demands and expectations of a high-paced, high-volume operation. Must have a positive attitude, be reliable and dependable.Plan, schedule and log daily installations, repairs, and service work to maximize billable time and meet productivity goals.Implement Service Technician dispatch, maintain on-call schedules, prepare, assign, and process work orders.Well organized with processing paperwork, data entry, work orders, invoices & statementsHandle administrative, data entry, reporting and reconciliation around asset and inventory controls and purchasing.

Qualifications:

High School diploma or equivalent2+ year of experience in a customer service or accounting role preferredExcellent written and verbal communication skills with an emphasis on team building and developing a positive rapport with company employees at all levels as well as customers.Strong organizational skills with typing and data entry experienceAbility to multi-task and prioritize assignments in a team environmentSolid computer skills including Microsoft Office, data entry and the ability to run and analyze reportsAbility to work independently
