Property Management & Contracts Specialist I
GENERAL DESCRIPTION OF POSITION
The Property Management and Contracts Specialist will be a skilled and detail-oriented individual; responsible for overseeing property management tasks and ensuring all contracts are efficiently managed and in compliance with legal requirements. The ideal candidate will have experience in property management, contract negotiations, and an understanding of the legalities of property contracts.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Maintain accurate records of properties, stores, contracts, lease agreements, payment schedules, key dates, and related documentation.
Address Notice of Violations and other jurisdictional issues related to properties in a timely manner, coordinating actions with other departments as needed.
Foster and maintain strong, collaborative relationships with key partners and relevant jurisdictions to ensure ongoing alignment and support.
Work closely across departments to review and fulfill requests for documents or information stored in contracts or departmental databases, ensuring accuracy and timely access.
Carry out additional related responsibilities, including administrative tasks such as data entry, organization, and management, ensuring accuracy and efficiency in all operations
Market, or collaborate with third parties to market, excess or surplus properties for disposition.
Exercise contractual rights and engage in negotiations on behalf of stakeholders.
Secure necessary approvals for the coding and processing of invoices, ensuring compliance with financial procedures and timely completion.
Assist in the execution and delivery of closing documents, ensuring all necessary paperwork is completed accurately, and coordinate wire transfers to facilitate seamless transactions.
Oversee the review of easement requests, including cross-access, utility, and temporary construction easements. Manage condemnation procedures, which involve coordinating multi-department reviews, negotiating offers and settlements, tracking budgets, monitoring schedules, and handling related tasks throughout the project duration. Ensure all relevant documentation is processed with the necessary reporting.
Oversee the execution of leases and contracts for prospective new locations, managing critical factors and milestones including deposits, reimbursements, rent start dates, payments, and CAM fees.
Develop and present for approval strategies to address milestone decisions; to clearly communicate the purpose, scope, and impact of the decision while providing sufficient data and rationale to justify the approval request.
Perform any other related duties as required.
Qualifications:
Bachelor’s degree in Real Estate, Business Administration, or a related field (or equivalent experience).
Proven experience in property management or contract administration.
An understanding of property law, leasing regulations, and contract terms.
Excellent communication, negotiation, and interpersonal skills.
Detail-oriented with strong organizational and time management abilities.
Ability to manage multiple properties and contracts simultaneously.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
