Proposal Coordinator

PCSI is looking for a Proposal Coordinator on our Business Development team! The Proposal Coordinator organizes the proposal process in support of a team of writers and a Senior Proposal Manager. This position is responsible for coordinating the team's workload to adhere with deadlines and editing the final product for consistency with branding and established processes. This role is key in both facilitating communication with external subject matter experts and preparing materials for meetings with internal review teams.

The Proposal Coordinator must bring a strong understanding of federal contract proposals and experience with proposal writing. This position is hybrid based out of our corporate office in south Austin, TX.

What You'll Do as Proposal Coordinator:

Work with the Senior Proposal Manager to develop and oversee comprehensive project plans, including milestones, teams, resources, and production cycles. Coordinate and monitor proposal content flow, ensuring adherence to deadlines. Utilize technology (Microsoft 365, etc.) to streamline proposal processes. Communicate with BD leadership on proposal status, issues, and team performance. Develop compliance matrices, outlines, and recommend content reuse, graphics, and win themes. Coordinate writing assignments, workloads, and reassignments. Schedule and facilitate meetings with subject matter experts and review teams. Coordinate review team evaluation packages and track changes across proposal draft versions. Prepare and present proposal materials for various meetings and presentations. Ensure proposal compliance with solicitation requirements and reconcile narrative discrepancies. Compile attachments and data tables with SME and BD support. Edit proposal drafts for consistency, branding, and style. Oversee document templates and resolve template issues. Coordinate the production, packaging, and delivery of compliant proposal documents. Store proposal documents and artifacts according to established procedures. Coordinate proposal close-out activities and content updates. Support non-proposal actions (capabilities statements, sources sought, white papers, etc.). Contribute to writing and graphic design efforts as needed.

What You'll Need to Be Successful:

Bachelor's degree in English, Communications, Journalism, Publishing, Management, or a related field required. Master's degree in a related field preferred. Five years of professional or technical writing experience in a corporate environment. Experience writing U.S. Federal Government and/or commercial technical proposals, especially in logistics support services and facilities management, preferred. Proposal industry certifications from APMP or Shipley Associates. Familiarity with AbilityOne and SourceAmerica organizations preferred.

Technical/Proposal Writing: Expert in technical and business proposal writing. Process Improvement: Experienced in optimizing processes and strategic planning. Business Development: Contributes to market knowledge expansion. Federal Contracting: Understands federal procurement and proposal processes. Software Proficiency: Microsoft 365 Suite, productivity tools, and proposal development software. Desktop Publishing: Strong skills in word processing, presentations, layout, and basic graphic design. Adobe Creative Suite: Experience is a plus. Detail-Oriented: Accurate and efficient in proofing, formatting, and meeting deadlines. Problem Solver: Analyzes technical information and provides clear, concise responses. Multi-Tasker: Manages multiple priorities and deadlines effectively. Adaptable: Learns new software and expands market knowledge. Effective Communicator: Clearly articulates ideas verbally and in writing. Collaborative: Works well independently and as part of a team. Interpersonal: Builds and maintains positive relationships with colleagues at all levels.

Other Requirements:

Ability to pass criminal, drug, and driving screening. May need to have the ability to legally drive a company vehicle. Ability to exchange accurate information in person, over the phone, and in written communications. Primarily works indoors. Occasional travel may be required, up to 5%.
